Job description

The Senior Center Administrative Assistant II provides advance administrative support to the Senior Center Director and staff. This position coordinates daily office operations, assists with program scheduling, manages records, supports participant services, and ensures smooth functioning of senior center activities. The role requires strong customer service skills, excellent attention to detail, and the ability to work with older adults in a professional and compassionate manner.

Key Responsibilities
Administrative & Clerical Support
  • Prepare, edit and proofread correspondence, reports, presentations and other documents.
  • Maintain calendars, schedule meetings, and appointments
  • Manage incoming calls, emails, mail, and inquiries; provide information or direct to appropriate staff.
  • Assist with document filing, recordkeeping, and data entry in both digital and physical systems
Office Coordination
  • Maintain office supplies, equipment, and inventory; coordinate maintenance requests as needed
  • Ensure office procedures and workflows remain organized and efficient
Project & Program Support
  • Assist with project coordination, meeting preparation, agenda drafting and minute-taking.
  • Prepare spreadsheets, and routine activity reports.
  • Collect and process fees, donations, and registrations; issue receipts and maintain accurate financial logs.
  • Assist in monitoring program budgets and purchasing process.
  • Maintain accurate financial records and assist with audit preparation when required.
Customer & Public Interaction
  • Greet participants warmly and professionally; support a welcoming and inclusive environment
  • Provide assistance and information regarding senior programs, transportation services, meal programs, and community resources.
  • Respond to concerns and route issues to appropriate staff.
Required Qualifications
  • 2 – 4 years of administrative experience, or an equivalent combination of education/experience.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) or Google Workspace.
  • Strong written and verbal communication skills.
  • Ability to prioritize tasks, manage time effectively, and work independently
  • Knowledge of office procedures, confidentiality rules, and record retention policies.
