Job summary

Trinity Health PACE is seeking a part-time Scheduling Coordinator to coordinate and schedule external appointments for participants according to care plans. You will work with transportation, participants, caregivers, and center staff to maintain accurate schedules and ensure timely care.

Responsibilities include using EPIC and other electronic scheduling tools, coordinating with departments, and handling invoices and authorizations. Strong customer service and organizational skills are required.

Qualifications

• High School Diploma or equivalent required.
• Associate degree preferred.
• 1 year scheduling experience required.
• Medical scheduling experience strongly preferred.
• 1 year experience with frail or elderly population preferred.
• 1 year of customer service experience preferred.
• Proficiency with MS Word, Excel, and PowerPoint; basic email/calendaring skills.

Responsibilities

• Coordinate and maintain participant schedules with care plans.
• Notify managers of scheduling changes requiring physician orders.
• Record scheduling updates daily and respond to referrals promptly.
• Coordinate with all departments for appointments.
• Ensure nursing completes education before appointments.
• Use electronic scheduling systems.
• Track training and medical clearances for agency personnel.
• Review agency invoices for accuracy and forward for approval.
• Create EPIC authorizations and transportation/escort appointments.
• Remind participants/caregivers of appointments.
• In manager's absence, review agency invoices for accuracy and forward to Nursing leader for approval.
