Department Information

The Office of Admissions Operations (OPER) provides strategic andtechnical support for recruitment, marketing, and admissionsprocessing. The team manages systems and business processes toensure efficient operations and high-quality service forprospective and current students.

Job Summary
Department Specific Responsibilities
  • Assists the Associate Director in the management of a team ofsupport staff cross-trained in student data entry, mail processing,and workflow activities. Provides general direction for support staff in prioritizing work to meet deadlines and fulfillexpectations. Analyzes, monitors, and evaluates performance ofassigned staff; establishing work priorities, providing regularfeedback, conducting performance reviews, and providing correctiveaction as needed.
  • Determines the sequence of events and generally supervise avirtual calendar of services and timelines, which deliverindividual and batch data processes and support events bothinternal and external to the university.
  • Instructs staff, prepares reports, and advises the AssociateDirector regarding operations, software, hardware and processesrelated to the annual recruitment and admissions applicationworkflow. Analyzes business performance and processes, participatesin strategic research, and identifies potential for technologyintegration or modification. Assists with the development andimplementation of business process designs for prospect processing,admissions application workflow, and develops and documentsbusiness process and system operations.
  • Manages the operations related to transfer of credit, automateddata entry, and the maintenance of a high standard of quality anddata integrity. Assists the Associate Director in the management ofoperations related to admissions application processing, includingapplication update processing in the Slate Customer RelationshipManagement (CRM) and in PeopleSoft Student Information System(SIS).
  • Manages the processing of incoming mail. Provides consistentand accurate loading of data for internal and externalcustomers.
  • Manages systems and workflow administration duties. Assists theAssociate Director in the testing of business processes, systemenhancements, and quarterly patches related to the IU StudentInformation System, and other central systems related torecruitment and admissions.
  • Maintains queries and reports to identify data and processingdiscrepancies, instructs staff in the resolution of discrepancies,and performs follow-up to ensure satisfactory completionoftasks.
  • Assists in the recruitment of employees, interview and screenindividuals for hiring, develop training materials, instruct staff,and determine work hours.
General Responsibilities
  • Provides specialized customer support through provisioning,creation of projects or workspaces within applications, and/orcustomizing products to customer specifications.
  • Troubleshoots and analyzes problems and bugs in applicationsand products.
  • Performs complex upgrades, releases, customization, anddocumentation of work according to team's establishedmethodology.
  • Performs programming, scripting, and modifications ofapplication and products for corrective action.
  • Collaborates with technical and functional business clients andteams within the central information technology organization.
  • Contributes to project planning, objective formulation, taskestimation and evaluation of customer requests.
  • May train, mentor and provide guidance and feedback to lessexperienced staff.

EDUCATION

Working Conditions / Demands

This role requires the ability to effectively communicate and tooperate a computer and other standard office productivityequipment. This position requires occasional on-campus (IU Bloomington)presence will be required for meetings or other business needs asnecessary.

Work Location

This is a primarily remote position. However, this is subject tochange in the future based on university policy and businessneeds.
