Job summary

Air Cargo Carriers, Inc. in Milwaukee seeks a Senior Administrative Assistant to support the executive team, coordinate payroll and records, and help manage reports and data across operations and maintenance functions.

The role requires a High School diploma or GED and 6+ years of experience, with strong MS Office skills, English proficiency, and the ability to obtain required security clearances. This is a full-time position with a Monday–Friday schedule and occasional overtime.

  • MS Office Suite experience including Excel.
  • Able to read, write, speak and understand English.

Responsibilities

  • Support the CASS program in coordination with the Chief Pilot for pilots.
  • Compile landing report data and submit for monthly reporting requirements.
  • Submit reports and data to insurance providers as needed for aircraft, property, etc.
  • Review and verify accuracy of payroll timecards for multiple departments.

SHIFT
1st Shift, Monday-Friday, 8:00am-4:30pm. Occasional overtime may be necessary.

Senior Administrative Assistant supports the executive team and reports to the Director of Operations.

ROLE AND RESPONSIBILITIES:
  • Support the CASS program in coordination with the Chief Pilot for pilots.
  • Compiles landing report data and submits for monthly reporting requirements.
  • Submits reports and data to insurance providers as needed for aircraft, property, etc. Helps to compile information as needed for claims and renewals.
  • Reviews and confirmed accuracy of timecards for payroll for various departments ; w eekly/bi-weekly.
  • Maintain Pilot Records, including uploading records to the PRD (Pilot Records Database), CHRC binder and adding NDR data to PRD.
  • Complete 2-year Drug and Alcohol Records checks.
  • Processing/ reconciling expense reports in Expense Point for various departments.
  • Manages the corporate credit cards for all employees.
  • Proofreading and editing drafts of reports, emails, and other work for the executive team.
  • Answering and forwarding telephone inquiries. Screening email communication, responding to emails as appropriate.
  • Maintain Mechanic FAA Files.
  • File Maintenance Discrepancy Worksheets (MDW) for mechanics and outstations.
  • Maintaining organized and accurate records, updating databases, calendars, and other files for various departments. Produce daily, weekly and monthly reports for review by the operations and maintenance departments.
  • Oversee SIDA Badge Administration– Current Employee Renewals and arranging new employee badging with the airport security.
  • Coordinates maintenance request for the Milwaukee locations as needed
  • Oversees crew housing maintenance and cleaning issues.
ESSENTIAL QUALFICATIONS:
  • Education and/or Experience: High School diploma or general equivalency degree (GED), 6 or more years’ experience and/or training or equivalent combination of education and experience.
  • Computer literate and MS-Office Suite experience, including spreadsheets. Ability to learn and maintain the maintenance software platform.
  • Able to read, write, speak and understand English.
  • Must be able to obtain the appropriate security clearances and background checks.
