  • Serves as a trusted advisor and senior administrative resource to the Director on administrative matters.
  • Provides leadership and mentorship to administrative coordinators across the department.
  • Supports management in implementing departmental initiatives and operational improvements.
  • Develops effective relationships with internal and external stakeholders, including senior IMF management.
  • Drafts and edits correspondence, briefing materials, presentations, and reports for the Director.

Job description

The European Department (EUR) is seeking to hire a highly qualified and experienced Lead/Senior Administrative Coordinator to provide high-level administrative and operational support to the Director. Reporting directly to the Director, the selected candidate will serve as a trusted partner in managing the day-to-day operations of the Director's office while helping ensure the smooth functioning of administrative activities across the department. The successful candidate will coordinate complex administrative processes, manage high-profile engagements and priorities, provide leadership and guidance to the department's coordinator community, and serve as a key resource on Fund policies, procedures, and administrative best practices. The role requires exceptional organizational skills, sound judgment, discretion, initiative, and the ability to manage multiple competing priorities in a fast-paced environment. Familiarity with EUR's administrative and operational processes, as well as relevant Fund policies and procedures, would be an advantage. In addition, the Lead/Senior Administrative Coordinator will contribute to departmental administrative initiatives, mentor and support coordinators, and work closely with management and Fund-wide partners to enhance EUR's operational effectiveness.

Major Duties and Responsibilities
  • Provides direct administrative and operational support to the Director, managing priorities, schedules, meetings, travel, correspondence, and follow-up actions.
  • Coordinates the workflow of the Director's office, ensuring the timely handling of review items, briefing materials, requests, and other priorities.
  • Serves as a trusted advisor and senior administrative resource to the Director on administrative and operational matters.
  • Provides leadership, guidance, and mentorship to administrative coordinators across the department, promoting consistency, best practices, and professional development.
  • Supports management in implementing departmental administrative initiatives, operational improvements, and organizational changes.
  • Develops and maintains effective working relationships with internal and external stakeholders, including senior Fund management, Executive Directors' offices, member country authorities, and other departments.
  • Drafts, reviews, and edits correspondence, briefing materials, presentations, reports, and other documents for the Director, ensuring accuracy and adherence to Fund standards.
  • Provides guidance and interpretation of Fund administrative policies, procedures, and systems to management and staff.
  • Identifies opportunities to improve administrative processes, streamline workflows, and enhance operational efficiency across the department.
  • Maintains records and information, including highly confidential and sensitive materials, exercising the highest level of discretion and professionalism.
  • Represents EUR in Fund-wide administrative committees, working groups, and special initiatives, as appropriate.
  • Serves as backup support for other Front Office functions to ensure continuity of operations.
Qualifications

Educational development, typically acquired by the completion of a high school diploma, or equivalent, supplemented by a minimum of eight (8) years of relevant experience, is required. Internal candidates must have met mobility requirements.

In addition to the qualifications above, the selected candidate must possess:

  • Demonstrated ability to work effectively and professionally with senior management and high-level stakeholders.
  • Experience in Front Office assignments and good understanding of area department work.
  • Experience supporting a department head, deputy director, or other senior staff in a complex and fast-paced environment.
  • Proven leadership experience, including mentoring, coaching, and developing administrative staff.
  • Ability to lead, adapt quickly, think critically, and demonstrate a strong work ethic.
  • Excellent drafting, administrative, organizational, and project management skills.
  • Experience organizing, coordinating, and managing high-impact activities and events.
  • Ability to work well under pressure while managing competing priorities, short deadlines, and a demanding workload.
  • Sound judgment and discretion in handling sensitive and confidential information.
  • Excellent written and verbal communication skills, with the ability to interact effectively with stakeholders at all levels, both internal and external.
  • Comprehensive knowledge of IMF administrative policies, procedures, and systems.
  • Experience supporting senior management or working in a Front Office environment would be an advantage.
  • Flexibility in working hours and willingness to work overtime on short notice when required.
  • Strong interpersonal skills, emotional intelligence, and a collaborative approach to working with colleagues.
  • Strong drive for results, innovation, and continuous improvement.
  • Excellent knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, collaboration tools, with the ability to leverage technology to enhance administrative efficiency and service delivery.
