A leading company in gene therapy is looking for a Senior Administrative Assistant. The role requires managing calendars, arranging travel, and supporting department leaders in a fast-paced environment to ensure high productivity. Candidates must demonstrate exceptional organizational skills, proactive initiative, and experience in administrative support within the biopharma industry.
Pharma Technical Operations, Cell & Gene Therapy (PTC) is the global team responsible for all CMC aspects of our cell and gene therapy portfolio, from development through scale-up and industrialization. Our Philadelphia site specializes in gene therapy initiatives and will be actively involved in the construction of a new Gene Therapy Innovation Center aimed at delivering ground-breaking gene therapies to patients.
The Senior Administrative Assistantis a crucial part of our Gene Therapy Manufacturing team, dedicated to manufacturing and supplying advanced therapies to patients worldwide. As a member of this team, you will provide comprehensive administrative support to department leaders, ensuring their needs are prioritized and managed effectively to enhance productivity. You will collaborate closely with various leaders and administrative colleagues, playing a key role in coordinating departmental activities and maintaining high standards of professional conduct and confidentiality.
The Opportunity:
In this role, you will provide critical support to the Gene Therapy Manufacturing department leaders, helping to prioritize, organize, and complete tasks to increase productivity in a dynamic, fast-paced environment. Additionally, you will:
Maintain and manage complex and changeable calendars, including arranging meetings with all logistical details (catering, technology, etc.)
Schedule international and domestic travel for leadership and prepare detailed itineraries
Represent the team professionally, handle communications with internal and external customers and partners, and arrange interviews for the team
Prepare routine and non-routine correspondence, memoranda, reports, spreadsheets, and presentations, gathering information from stakeholders at all organizational levels
Manage expense reports, ensuring accurate and timely submission
Support leadership in setting up purchase orders (POs) and tracking invoices
Handle special projects as requested, demonstrating initiative and flexibility in a dynamic environment
Who You Are:
You possess a High School diploma or equivalency
You possess at least 6 years of relevant senior administrative support experience, preferably in the biopharma industry
You have demonstrated experience supporting various levels of staff in a matrixed organization, showcasing exceptional organizational skills to prioritize and manage conflicting goals
You possess excellent verbal and written communication skills for drafting/editing meeting agendas, correspondence, and presentations, and interfacing with senior leaders
You are proficient in Google Suite (Docs, Sheets, Calendar, Meets, Slides, etc.) or other relevant software (i.e. Microsoft Office Suite) and can perform various functions like mail merge, use formulas, functions, pivot tables, graphs, graphics.
You are technically savvy and have experience working in various systems (SharePoint, SAP Concur for expense reporting, etc.)
You are a team player with a sense of urgency and a proven track record of proactively taking initiative while handling confidential matters with discretion
You have extensive experience arranging international and domestic travel, coordinating on/offsite meetings, and providing detailed itineraries
You can apply proper English usage, grammar, vocabulary, and spelling
You are capable of making complex decisions requiring considerable judgment and initiative, especially on highly confidential assignments and projects

The expected salary range for this position based on the primary location of Philadelphia is $67,800 (min) - $96,800 (mid) - $125,800 (max). Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law. A discretionary annual bonus may be available based on individual and Company performance. This position also qualifies for the benefits detailed in thislink.
