HCA Healthcare seeks a Senior Administrative Assistant to support Vice Presidents in ITG Executive Management. You will coordinate travel, manage calendars, prepare reports, and handle confidential files, contributing to efficient leadership operations and cross-department collaboration.

As part of ITG Administrative Support team, this position will provide professional administrative support to Vice Presidents in Executive Management in ITG and may include an AVP paired with VP support. Schedules meetings as requested. Assists other administrative support staff in projects and cross-coverage as needed.
MAJOR RESPONSIBILITIES
Coordinates necessary travel arrangements and processes travel expense reports via Concur and prepares reimbursement reports as requested.
Schedules meetings (internal/external to the organization) conference calls, teleconferences and web seminars as requested.
Maintains Outlook calendars, schedule meetings, video conference calls, and email as assigned.
Prepares reports for company activities as required.
Performs a wide variety of duties such as, composing correspondence, preparation of forms, charts, schedules, and presentation materials as needed.
Establishes and maintains confidential and operational files for the Executive Team and maintains confidential and operational files as requested.
Facilitates logistics and arrangements of quarterly All Hands meetings, off-sites, and leadership meetings
Maintain distribution lists.
Complete PTO reports
Answers phones and screens phone calls, assists and directs callers and takes messages.
Maintains schedule of use of restricted conference rooms.
Sorts and distributes mail and other deliveries.
Prepares packages for overnight delivery.
Flexible in supporting any office projects needing extra attention due to specific deadlines
Assists other administrative support staff in projects and cross-coverage if needed.
Proficient at Microsoft Word, Excel, Outlook, and PowerPoint
Excellent interpersonal and organizational skills
Ability to multi-task and work independently with minimal supervision
Ability to work and participate in a team environment within and across departments
EDUCATION
High School Graduate/Equivalent – Required
EXPERIENCE
5 or years of relevant work experience - Required
3 or years of experience in senior level executive support - Preferred
Or equivalent combination of education and/or experience
TRAVEL
The job may require travel from time- to-time, but not on a regular basis.
