Job summary

Northern Trust in Chicago is seeking an proactive Administrative support professional for the Transformation Office. You will manage calendars, schedule meetings, arrange travel, process expenses, and help coordinate team activities.

You will create and format presentations and reports, handle invoices, assist with events, and act as a point of contact for internal stakeholders while identifying ways to improve efficiency.

Qualifications

  • 2-5 years of administrative, executive assistant, coordinator, or business support experience.
  • Experience supporting multiple stakeholders preferred.
  • Financial services experience is beneficial but not required.

Responsibilities

  • Provides administrative support to Transformation Office leaders, including calendar management, meeting scheduling, travel arrangements, expense processing, and other administrative activities.
  • Coordinates team meetings, workshops, and events, including logistics, materials, and follow-up activities.
  • Creates, edits, and formats presentations, reports, spreadsheets, and communications.
  • Processes invoices, expense reports, purchase requests, and office supply orders.
  • Assists with arranging travel, conference registrations, and department events.
  • Supports preparation of meeting agendas, notes, and action-item tracking.
  • Acts as a point of contact for internal stakeholders and coordinates requests across the Transformation Office.
  • Identifies opportunities to improve administrative processes and team efficiency.

Major Duties

Provides administrative support to Transformation Office leaders, including calendar management, meeting scheduling, travel arrangements, expense processing, and other administrative activities. Coordinates team meetings, workshops, and events, including managing logistics, preparing materials, and supporting follow-up activities. Creates, edits, and formats presentations, reports, spreadsheets, and communications. Processes invoices, expense reports, purchase requests, and office supply orders. Assists with arranging travel, conference registrations, and department events. Supports the preparation of meeting agendas, meeting notes, and action-item tracking. Serves as a point of contact for internal stakeholders, helping coordinate requests and communications across the Transformation Office. Helps maintain team operating calendars, key milestones, and recurring reporting activities. Identifies opportunities to improve administrative processes and team efficiency. Works independently on routine assignments while escalating more complex issues as appropriate.

Salary Range

$52,800 - 79,200 USD

Salary range is a good faith estimate of base pay. Northern Trust provides a comprehensive benefits package including retirement benefits (401k and pension), health and welfare benefits (medical, dental, vision, spending accounts and disability), paid time off, parental and caregiver leave, life & accident insurance, and other voluntary and well-being benefits. Northern Trust also provides a discretionary bonus program that may include an equity component.
