Scheduled Hours: 8:30-5, and varied according to clinic needs

Major Responsibilities:

  1. Coordinate medical office activities and staff, including training, scheduling, process improvements, and performance monitoring.
  2. Transcribe medical reports, produce correspondence, and proofread/edit professional documents.
  3. Attend meetings as a recording secretary, distribute agendas and minutes.
  4. Serve as coordinator for educational programs such as residency, fellowship, clerkship, or graduate studies.
  5. Compose or select standard response letters for routine inquiries and procedures.
  6. Arrange meetings, activities, and travel for faculty and staff.
  7. Schedule and coordinate patient visits and procedures, including admissions and testing.
  8. Coordinate internal and external meetings.
  9. Greet visitors and patients, ascertain needs, and provide information, fostering quality customer service.
  10. Handle patient-care related calls, providing routine information and referrals.
  11. Identify priorities and respond to emergencies within physician guidelines.
  12. Manage managed care referrals and patient registration using computer systems.
  13. Verify insurance coverage and eligibility.
  14. Escort and chaperone patients as needed.
  15. Collect co-payments, maintain records, and deposit funds.
  16. Perform charge entry and process administrative paperwork.
  17. Guide departmental personnel on policies and procedures.
  18. Provide guidance to office staff and maintain confidential files and records.
  19. Ensure inventory and maintenance of office supplies and equipment.
  20. Assist with basic IT setup and maintenance.
  21. Participate in performance improvement initiatives, ensuring compliance with health and safety standards.

All responsibilities are essential job functions.

Position Qualifications:

License/Certification/Education:

  • High School diploma.
  • 6-12 months of specialized medical secretarial/medical office training.

Experience/Skills:

  • 2-3 years of medical secretarial/administrative support experience.

Software used includes Word, Excel, PowerPoint, databases, Medi-Tech, IDX, Lynx, etc.

Equivalent education and experience may be substituted where appropriate.
