Job Title: Medical Secretary

Schedule Details: Monday through Friday

Scheduled Hours: 8:30 am - 5:00 pm

Shift: Day Shift, 8 Hours (United States of America)

Hours: 40

Cost Center: 34000 - 1700 Otolaryngology

Union: SHARE (State Healthcare and Research Employees)

Major Responsibilities:
  1. Coordinate medical office activities and staff, including training, scheduling, process improvements, and performance monitoring.
  2. Transcribe medical reports from physicians' dictation and produce correspondence, reports, and memos.
  3. Attend meetings as recording secretary, distribute agendas and minutes.
  4. Serve as coordinator for residency, fellowship, clerkship, or educational programs.
  5. Prepare standard response letters for routine inquiries and procedures.
  6. Arrange meetings, travel, and coordinate patient visits and procedures.
  7. Coordinate internal and external meetings.
  8. Greet visitors and patients, providing standard information and fostering quality customer service.
  9. Manage patient-care related calls, providing routine information and referring matters appropriately.
  10. Handle referrals, patient registration, insurance verification, and co-payment collections.
  11. Process business office paperwork and follow-up on administrative tasks.
  12. Guide departmental personnel on policies and procedures.
  13. Maintain confidential files and records, including medical records and academic materials.
  14. Ensure inventory of supplies and maintenance of office equipment.
  15. Participate in performance improvement initiatives and ensure compliance with health and regulatory standards.
Position Qualifications:

License/Certification/Education:

  • High School diploma
  • 6-12 months of specialized medical secretarial/medical office training

Experience/Skills:

  • 2-3 years of medical secretarial/administrative support experience

Software used includes Word, Excel, PowerPoint, databases, Medi-Tech, IDX, Lynx, etc.

Equivalent combinations of education and experience may be considered.

Physical Demands and Environment:

Work is sedentary, indoors in a normal office environment.
