Job description

I. DEPARTMENT INFORMATION

The GW School of Engineering and Applied Science (SEAS) is recruiting for a School Research Administrator to work in a dynamic and growing research environment. This fully remote temporary position focuses on providing research program support for GW Engineering, primarily post-award management and operational support for the SEAS Research Support Team.

GW Engineering excels in research and education in biomedical engineering, cybersecurity, high-performance computing, nanotechnology, aerospace engineering, civil engineering, mechanical engineering, artificial intelligence, tissue engineering and bio-materials, just to list a few areas of expertise.

GW Engineering's Research Support Team works closely with faculty to oversee their portfolios. In order to support the school's research activities during a period of overlapping employee leave, we are looking for a School Research Administrator who is organized, proactive, detail-oriented, and possesses strong customer service skills with all levels of faculty, students, and staff to join our team.

This position supports the administrative and financial management of sponsored research activities and is not a laboratory research position.

The SRA responsibilities include:
  • Monitors and processes student award recommendations and follows up on pending items.
  • Serves as the primary monitor of the SRSS shared inbox, conducting intake, triage, assignment, and follow-up of requests to support timely response and resolution.
  • Maintains shared tracking databases, folders, guidance documents, Airtable records, and other operational tracking tools used by the Research Support Team.
  • Assists with administration of personnel-related research activities, including position tracking and maintenance of grants personnel records.
  • Assists with new award intake, award setup activities, and maintenance of award-related records and tracking systems.
  • Reviews and processes sub-recipient invoices, and other research administration transactions initiated by the post-award team.
  • Assists with expense report review, tracking, and follow-up activities.
  • Responds to requests from central offices, faculty, staff, and students; works with team members or escalates issues as appropriate.
  • Serves as an active communication liaison between SEAS faculty, staff, and central administrative offices on requests related to assigned duties.
  • Provides administrative and operational support for sponsored research activities across multiple departments.

Performs other work-related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications

Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Preferred Qualifications
  • Administrative experience in higher education, research administration, finance, business operations, or a related field.
  • Experience supporting multiple projects, transactions, or customers while maintaining strong attention to detail.
  • Experience maintaining spreadsheets, tracking databases, shared records, or other operational tools.
  • Experience reviewing, processing, or tracking administrative or financial transactions.
  • Experience using enterprise software, databases, workflow systems, or similar business applications.
  • Experience working in a customer service-oriented environment and communicating with a variety of stakeholders.
  • Research administration experience is preferred but not required.
  • Experience using Banner, Huron's myResearch, Airtable, Concur, Oracle, or similar systems is a big plus.
  • Strong attention to detail and commitment to accuracy.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office applications, including Excel.
  • Ability to manage multiple priorities and deadlines.
  • Ability to work independently in a fully remote environment.
  • Ability to follow established procedures and seek guidance when situations fall outside documented processes.
