Job summary

College of the Mainland seeks a Scholarship Specialist to promote scholarship funding opportunities, assist students with the application process, and coordinate the awarding of scholarships through the Financial Aid Office to support enrollment and student success.

Responsibilities

  • Promote scholarship opportunities and provide students with information regarding eligibility, deadlines, and resources.
  • Manage scholarship applications and awards, including reviewing and notifying students of awards.
  • Maintain and update scholarship information, policies, and records across systems.
  • Coordinate with Financial Aid, departments, and providers to ensure accurate disbursement of funds.
  • Maintain confidentiality of student records in accordance with FERPA and donor guidelines.
  • Monitor scholarship requirements and enrollment eligibility for compliance.
  • Provide student support through outreach, workshops, and individualized assistance.
  • Process external scholarship funds and prepare reports as needed.
  • Assist with financial aid outreach and office operations.

Job description

The Scholarship Specialist promotes scholarship opportunities, assists students with the scholarship application process, and coordinates the awarding of scholarships through the Financial Aid Office. This position increases student awareness of available funding opportunities, provides guidance on eligibility and application requirements, maintains scholarship software and ensures accurate processing and awarding of scholarships to support student enrollment and success.

Educational Requirements
  • Associate’s degree from an accredited institution.
  • Two (2) years of progressively responsible experience in student services, financial aid, admissions, scholarships, or a related customer-focused environment.
  • Strong interpersonal, organizational, and customer service skills with a demonstrated commitment to supporting student success.
Preferred Education/Training/Experience
  • Bachelor’s Degree
  • Software experience using AwardSpring and/or Ellucian Colleague
  • Ability to multi-task and meet deadlines under pressure, strong organization skills with attention to detail.
  • Ability to work an assigned rotation for extended office coverage and occasional Saturdays during registration, enrollment, or other student service events.
  • Strong interpersonal and communication skills, both written and verbal, and the ability to forge productive relationships both internally and externally.
  • Experience with entering and extracting information from a database.
  • Experience in dealing with confidential information and being compliant with financial, gift and grant policies.

Job Duties
  • Promote scholarship opportunities and provide students with information regarding eligibility requirements, application processes, deadlines, and available resources.
  • Manage scholarship application and awarding processes, including reviewing applications, verifying eligibility, coordinating selection processes, and notifying students of awards.
  • Maintain and update scholarship information, applications, policies, procedures, and records within scholarship software and other systems.
  • Coordinate with Financial Aid staff, academic departments, external organizations, and scholarship providers to ensure accurate processing, awarding, and disbursement of scholarship funds.
  • Must be able to maintain confidentiality of student records and sensitive information in accordance with federal and state regulations, including FERPA .
  • Monitor scholarship requirements, enrollment eligibility, and compliance with institutional, state, federal, and donor guidelines.
  • Provide student support through outreach, workshops, and individual assistance to increase awareness and access to scholarship opportunities.
  • Process external scholarship funds, maintain accurate records, resolve award-related issues, and prepare reports as needed.
  • Assist with financial aid outreach activities, documentation review, and office coverage and operations assigned.
Physical Requirements
  • Work is primarily performed in a standard office environment.
  • Requires prolonged periods of sitting, standing, walking, and frequent use of a computer, telephone, and other standard office equipment.
  • Position may require occasional schedule adjustments to meet departmental deadlines, peak processing periods, and special events.
  • Requires the ability to lift and carry office materials weighing up to 10 pounds on an occasional basis.

Minimum Salary Range $49,692

Mid Point Salary Range .

Maximum Salary Range $62,115
