Job summary

HomeWell Care Services of Delaware is seeking a Scheduling Coordinator to ensure client service hours are staffed with qualified caregivers, maintaining continuity and quality of care. You will manage schedules, coverage, and communications with clients, families, and the Care Team.

Key duties include reviewing care plans, handling open shifts, and documenting activities in scheduling systems. A strong focus on caregiver engagement and timely problem resolution is essential.

Qualifications

• High school diploma or equivalent required.
• Two years of related scheduling, staffing, customer service, home care, health care, or operations experience preferred.
• Excellent written and verbal communication skills and strong customer service orientation.
• Exceptional organizational skills and attention to detail; proficient with scheduling, CRM, and other tech.

Responsibilities

• Schedule client shifts with eligible caregivers whose knowledge, skills, and availability match client needs.
• Review care plans and requirements before assignments or replacements.
• Proactively manage open shifts and last-minute coverage with urgency.
• Communicate assignments and changes promptly to caregivers, clients, families, and Care Team.
• Maintain accurate schedules and caregiver contact info in WellSky or approved systems.
• Monitor Live View for clock-ins/outs, delays, and schedule discrepancies and resolve issues promptly.
• Investigate late or missed clock-ins and arrange alternate coverage as needed.
• Document scheduling activities and communications in approved systems.
• Review shift records for discrepancies and raise payroll or timekeeping concerns as needed.
• Monitor overtime and obtain authorization when required.
