Duties and Responsibilities
- Assists the Director of Health Services (DHS) in planning, developing, organizing, implementing, evaluating, and directing the nursing service department, along with its programs and activities, in accordance with current rules, regulations, and guidelines that govern the Health Campus.
- Assists in developing methods for coordinating nursing services with other resident services to ensure the continuity of residents' care.
- Participates in facility surveys (inspections) conducted by authorized government agencies as directed by the DHS or the Executive Director.
- Creates and posts the campus' four-week Master schedule following the Campus Hourly Scheduling policy.
- Makes staffing adjustments based on budget, census fluctuations, call-offs, and planned leaves.
- Manages, supports, and coordinates employees' PTO requests, holiday rotations, and shift trades.
- Generates necessary postings such as BIPA, daily assignment sheets, and monthly schedules.
- Manages nursing hours (PPD) and staff ratios to census.
- Monitors overtime closely to reduce or eliminate it.
- Handles Time and Attendance, including attendance points, buy-backs, SPUs for cash, and SPUs for STARS.
- Anticipates staffing needs, recruits, and collaborates with Employee Services to minimize open positions.
- Maintains and monitors Preceptor needs.
- Utilizes Smartlinx features for posting and filling shifts and employee communication.
- Meets new employees to review schedules, address needs, and ensure smooth onboarding.
- Assists with onboarding coordination and training classes.
- Adheres to scheduling standards, Smartlinx usage, and best practices.
- Assists with Fit testing, COVID testing, Biometric screening, PPD, etc.
- Provides direct nursing care as necessary.
- Completes resident documentation in MatrixCare to ensure medical records are accurate and complete.
- Maintains supply ordering and stocking.
- Rounds on each shift to review staffing levels.

Knowledge of:
- Government laws, regulations, and guidelines related to long-term care, budgets, and PPD sets.
- SmartLinx, ICIMS, and KeyStats systems (preferred but not required).
- Regulatory compliance in all responsibilities.
- No license/certification required, but prior scheduling experience is preferred.
- Unencumbered CNA, QMA/KMA/Med Tech certification, or LPN/RN license in the state of employment.
