Now Hiring: Scheduling Clerk (Bilingual Spanish Required)

Location: Corona, California

Schedule: Full-Time | Monday-Friday, 8:00 AM-5:00 PM

Position Summary

As a Scheduling Clerk, you will play an important role in connecting families with qualified Respite Care Providers (RCPs) and helping ensure client scheduling needs are met efficiently and accurately.

Under the general direction of the Respite Services Supervisor or designee, you will coordinate client and provider schedules, manage open shift requests, arrange family and RCP interviews, maintain accurate scheduling documentation, and communicate staffing needs across departments.

This role is ideal for someone who is highly organized, responsive, detail-oriented, and comfortable managing multiple scheduling priorities while providing excellent customer service to families and care providers.

Key Responsibilities
  • Coordinate client and Respite Care Provider schedules to support timely and effective staffing.
  • Assess family scheduling needs and preferences and identify qualified, available RCPs based on the best overall match.
  • Match RCPs with families based on factors such as location, availability, language, care needs, preferences, and provider qualifications.
  • Arrange interviews between families and RCPs and follow up regarding interview outcomes and next steps.
  • Manage and monitor open shift requests, including documenting staffing activity and current status.
  • Maintain accurate open shift logs, care logs, interview calendars, and related scheduling records.
  • Prioritize clients and families experiencing extended staffing wait times and provide appropriate follow-up.
  • Review newly hired RCPs and identify potential matches for available client shifts.
  • Coordinate with Care Recruitment and designated team members regarding current staffing needs, including specific cities, languages, availability, and care requirements.
  • Maintain accurate documentation in WellSky and other designated respite management systems.
  • Update open shift tracking documents using WellSky Custom Reports, Microsoft Excel, Teams, and other approved systems.
  • Document changes in client care needs identified during the staffing and matching process.
  • Follow up with families and RCPs regarding scheduling, interviews, open shifts, cancellations, and service-related needs.
  • Close open shifts when families are unresponsive after required contact attempts and document all activity appropriately.
  • Provide families and RCPs with guidance regarding interview expectations, scheduling procedures, and company protocols.
  • Respond to emails, messages, voicemails, and required follow-ups within established department timelines.
  • Communicate changes in RCP availability to appropriate internal teams to ensure scheduling records remain current.
  • Address staffing coverage requests and coordinate available RCP resources when appropriate.
  • Escalate staffing challenges and significant service concerns to the appropriate supervisor or department.
  • Promptly communicate incidents to designated staff and follow established Special Incident Reporting (SIR) protocols.
  • Verify client authorizations for new clients and communicate discrepancies or concerns as appropriate.
  • Follow up on unreported respite hours and communicate findings according to department procedures.
  • Ensure payroll, billing, accounting, and scheduling-related information is entered and maintained accurately.
  • Assist RCPs with Care Plans, maps, and use of the WellSky Personal Care mobile application as needed.
  • Identify scheduling or staffing trends and provide open shift statistics and significant updates to management.
  • Support RCPs experiencing service-related challenges and coordinate additional training or resources when necessary.
  • Partner with Intake, Recruitment, Services, and other departments to address staffing challenges and support continuity of care.
  • Continuously provide professional, responsive, and compassionate customer service to families, RCPs, and internal partners.
  • Participate in meetings, trainings, professional development activities, company events, and special projects as assigned.
Required Qualifications
  • High school diploma or equivalent (GED).
  • 3-5 years of scheduling experience required.
  • Bilingual in English and Spanish required.
  • Ability to type a minimum of 30 words per minute.
  • Strong ability to assess scheduling needs and appropriately match available care providers with families.
  • Excellent organizational, prioritization, and time-management skills.
  • Strong attention to detail and ability to maintain accurate records.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple open scheduling needs and follow-ups in a fast-paced environment.
  • Strong customer service and interpersonal communication skills.
  • Proficiency with Microsoft Excel, Outlook, Word, and PowerPoint.
  • Ability to learn and effectively utilize WellSky, respite management systems, and other payroll, billing, scheduling, or administrative platforms.
  • Comfortable using standard office equipment and technology.
  • Valid California driver's license.
  • Ability to maintain professionalism and confidentiality when working with families, care providers, and sensitive information.
Work Environment & Physical Requirements
  • Primarily office-based in a professional administrative environment.
  • Prolonged periods of sitting and computer/data-entry work.
  • Frequent telephone, email, and electronic communication.
  • Physical activities may include standing, walking, bending, reaching, and carrying office supplies.
  • Ability to lift and carry up to 20 lbs.
  • Must have sufficient visual and hearing ability to effectively perform written, verbal, computer, and telephone communication.
  • Ability to travel within and outside the county as needed.
