Noble Community Clinics in Manitowoc, WI is seeking a Scheduling Center Representative to join our team. This full-time role supports multiple clinic locations by coordinating appointments, verifying insurance and registration details, and ensuring a positive patient experience with every interaction using Epic and Dentrix.

The ideal candidate has a high school diploma and at least 3 years scheduling in healthcare or a call center, strong communication and problem-solving skills, and proficiency

Qualifications

• High School Diploma or equivalent required.
• Minimum of 3 years of experience scheduling appointments in healthcare or call center environment.
• Strong communication and customer service skills essential.
• Ability to stay calm and professional under pressure.
• Excellent organizational and problem-solving abilities.
• Proficiency with Microsoft Office and EHR systems (Epic or Dentrix preferred).
• Ability to work independently and as part of a team.

Responsibilities

• Schedule patient appointments using Epic and Dentrix.
• Update daily schedules for cancellations and urgent appointments.
• Collect and verify pre-registration and insurance information.
• Obtain detailed insurance or payer information.
• Triage incoming calls and route them appropriately.
• Communicate effectively with patients from diverse backgrounds.
• Collaborate with front desk staff to ensure efficient patient flow.
• Uphold HIPAA and patient confidentiality.

Position Overview

The Scheduling Center Representative plays a key role in connecting patients with the care they need. This position supports multiple clinic locations by coordinating appointments, verifying insurance and registration details, and ensuring a positive patient experience with every interaction.

Key Responsibilities

Schedule patient appointments with clinical providers using Epic and Dentrix software.

Update daily schedules to reflect cancellations and urgent appointments.

Collect and verify pre-registration and insurance information for new and existing patients.

Obtain detailed insurance or payer information.

Triage incoming phone calls and route them appropriately.

Communicate effectively and compassionately with patients of diverse backgrounds.

Collaborate with front desk staff to ensure efficient patient flow across clinic sites.

Uphold HIPAA standards and patient confidentiality at all times.

Participate in meetings, training, and quality improvement initiatives.

Qualifications

Education & Experience

High School Diploma or equivalent required.

Minimum of 3 years of experience scheduling appointments in a healthcare or call center environment.

Skills & Abilities

Excellent communication and customer service skills.

Ability to remain calm and professional under pressure.

Strong organizational and problem-solving abilities.

Proficiency with Microsoft Office Suite and experience with EHR systems (Epic or Dentrix preferred).

Ability to work independently and as part of a team.
