Description

PRIMARY PURPOSE OF JOB

The SBA Servicing and Administrative Specialist is responsible for various tasks to assist the lending and administrative SBA team in portfolio monitoring, annual portfolio reviews, servicing action requests and loan modification requests.

Interacts with SBA customers, SBA Loan Officers, SBA Loan Coordinators and Loan Processing personnel to complete a variety of tasks associated with the servicing and monitoring of SBA (Small Business Administration) loans. Assures tasks are completed accurately, timely and professionally to ensure prompt and professional service to internal and external customers.

ESSENTIAL FUNCTIONS AND PERFORMANCE AREAS

  • Prepare Servicing Memos for submission of approval to appropriate approval authority, (Bank and SBA), which includes reviewing loan files, closing documents, collateral documents, etc. Work with customers and lender to obtain all information and documentation needed to complete the request.
  • Prepare Collateral Releases for various servicing requests, responsible for ensuring releases and assignment releases are filed, and/or recorded, with follow up.
  • Support the SBA Team with various portfolio monitoring tasks, including but not limited to insurance (life insurance, liability, property, flood etc.) tracking/exceptions, financial reporting exceptions.
  • Ensure loan payment posting are accurate and monitor modifications for accurate loan repayment schedules.
  • Process monthly/daily Secondary Market SBA loan payments.
  • Daily customer interactions through phone calls and emails to assist the SBA Team with routine servicing matters and/or other related issues.
  • Assist with and manage transition of loan file from closing to review. Reviewing final closing documents for accuracy, prepare final loan folders and file in vault room. Ensure the loan documentation is property imaged into Core system.
  • Assist and perform post-closing audits of 7(a) loan files.
  • Scan and file insurance and other various documentation as needed to maintain loan files.
  • Assist SBA Team with performing tasks including but not limited to site visits, address verification for returned mail, etc.
  • May assist SBA Manager/Operations Manager with liquidation process of SBA 7a loans.
  • Process third party vendor orders (as related to liquidation and servicing) maintain current vendor lists.
  • Prepare loan payoff requests (including loans sold on the secondary market), submit payoff notice to SBA in required timeframe prior to payoff, prepare applicable collateral releases (with follow up to ensure proper filing/recording), process loan payoff when received and prepare loan file for proper file retention as designated by SBA.
  • Assist with special tasks as needed by SBA Manager and/or SBA Operations Manager
  • Serves as back up or assist SBA Operations Manager on various FTA/1502 projects and reports.
Qualifications

KNOWLEDGE, SKILLS, AND ABILITIES

  • Ability to effectively work in a team environment cohesively (in various regions) and adapt well to change. Work on multiple projects simultaneously, managing time and resources to ensure work is completed efficiently and within established timeframes;
  • Effective oral and written communication skills;
  • Good customer service skills;
  • Knowledge of various legal entity borrowing structures;
  • Knowledge of loan closing process and loan documentation;
  • Skilled with Microsoft Word, Excel, Outlook, and related software applications (FISERV, Quiktrak) and SBA CAFS/ETran would be preferred;
  • Highly attentive to detail and able to multi-task in a fast-paced environment;
  • Complete all required training (initially and ongoing), Bank and SBA Training;

EDUCATION, TRAINING AND EXPERIENCE REQUIREMENTS

  • Minimum 1 year of loan administration experience or equivalent financial service and customer service experience. SBA related experience preferred.
  • Knowledge of SBA Origination SOP and SBA Servicing and Liquidation SOP requirements and procedures preferred.
