Job summary

United Utility Supply in Louisville, KY is seeking a Sales Support Representative to assist internal and external customers by processing invoice billings, stock reports, warranty claims, and sales inquiries. Proficiency with Excel and an ERP/CRM order-management system is essential, along with strong organizational and communication skills.

You will maintain open/closed customer files, coordinate the shared sales inbox, and support management with reporting and data entry.

Qualifications

• High School Diploma or equivalent required.
• Excellent written and oral communication skills with strong attention to detail.
• May need to drive to location; valid driver’s license; travel occasional (5%).
• 2 years of customer service in a materials-based or logistics organization preferred.
• May need to work additional hours as necessary (weather emergencies).
• Experience with Microsoft Office suites, ERP/CRM-type systems, data entry and internet-based business programs.

Responsibilities

• Accurately enters and maintains direct ship order billings and collaborates with vendors, management, and sales team on pricing and quantities.
• Maintain and update weekly customer stock agreement and open order/backorder reports with high attention to detail.
• Process warranty claims for water heaters and coordinate information with customers and vendors for replacement orders.
• Coordinate the shared sales email inbox and maintain inbox organization.
• Maintain complete open and closed customer order files, including web-based forms.
• Provide back-up or replacement tasks as directed by management.
• Assist in discrepancy reporting and issue resolution.
• Assist with inventory counts as directed by management.
• Perform other duties as assigned by management.
