Job summary

United Utility Supply in Louisville, KY is seeking a Sales Support Representative to assist internal and external customers by processing invoice billings, stock reports, and warranty processing. The role requires organization, attention to detail, and proficiency with Excel and ERP/CRM systems.

You'll coordinate the shared sales inbox, maintain order and reporting files, and support management with data entry and reporting tasks, including during weather emergencies or busy periods.

Qualifications

• Proven customer-service experience within a materials-based or logistics setting.
• Strong written and verbal communication with attention to detail.
• Knowledge of ERP/CRM-type systems and data entry processes.
• Proficient in Microsoft Office and internet-based business software.

Responsibilities

• Accurately enters and maintains direct ship order billings. Answers and asks questions to fully meet customer’s needs including collaborating with vendors, management, sales support specialist, and area representative(s) regarding customer pricing and quantities.
• Maintain and update weekly customer stock agreement, open order/backorder Excel reports for customer-specific needs. Focus on detail for reporting is highly important.
• Receive, submit, and process warranty claims for water heaters including communication with customers and vendor to obtain and submit appropriate claim information. Coordinates to disperse claim information to appropriate sales support specialist for replacement orders.
• Coordinate the shared sales email inbox including notification tags of sales support responsibility, as well as general upkeep of inbox organization.
• Maintains complete open and closed customer order files including web-based order forms.
• Performs back up or replacement tasks for other employees throughout the organization as directed by management.
• Assists in discrepancy reporting to management and helps investigate and resolve issues.
• Provides assistance with inventory counts as directed by management.
• Performs other duties as assignment by management.
