Job summary

Guardian Data is seeking a Sales Support Specialist to assist our sales and operations teams with quotes, proposals, and coordination across multiple vendors and customers.

You will gather pricing, scope, labor, and logistics details to prepare accurate quotes and manage projects from quoting to completion, ensuring timelines and deliverables stay on track.

Qualifications

• Experience in sales support, quoting, estimating, project coordination, operations, logistics, service coordination, or a similar role.
• Experience coordinating projects, jobs, vendors, or multiple workstreams.
• Organized and able to manage multiple priorities and deadlines.
• Strong attention to detail and pride in accurate work.
• Clear, professional communication with customers, vendors, and internal teams.
• Comfortable working with pricing, spreadsheets, and Microsoft Excel.
• Ability to learn new systems and work across multiple software platforms.
• Ownership mindset, follow-through, and proactive information gathering.
• Thrives in a fast-paced environment with changing priorities.

Responsibilities

• Prepare customer quotes, estimates, and proposals across Guardian’s service offerings.
• Gather pricing, scope, labor, logistics, and other information to develop accurate quotes.
• Work with vendors to obtain pricing, availability, lead times, and project requirements.
• Coordinate projects from quoting through completion, tracking timelines and deliverables.
• Partner with Sales, Operations, field teams, vendors, and customers to ensure proper planning and execution.
• Communicate with customers and vendors regarding project details, schedules, changes, and status updates.
• Follow up on outstanding items and help identify and resolve issues before they impact a project.
• Maintain accurate customer, quote, project, and job information in company systems.
• Ensure project documentation is complete and jobs are closed out for billing.
• Help improve processes and communication between Sales and Operations.

We’re looking for a Sales Support Specialist to support our growing sales and operations teams. This role combines quoting, vendor coordination, customer communication, and project coordination. You’ll help move work from an initial customer request through execution, keeping details organized and ensuring projects stay on track.

What We’re Looking For

• Enjoys a fast-paced environment where priorities can change and every day is different.

Experience in ITAD, logistics, technology, data center services, construction, manufacturing, distribution, or professional services is a plus, but not required.
