Job summary

HTU is seeking a detail-oriented administrator to lead the order entry for project-based sales and to support pricing, contracts, forecasting, and proposal processes. The role coordinates with sales, finance and operations to ensure accurate, timely order execution.

You will also help maintain CRM data, track opportunities, and generate ad hoc reports, while supporting new customer setup and post-sale communications. Strong analytical and communication skills are essential.

Job description

Your Role

Here’s what you will be doing:

  • Lead and strengthen the order entry process for project-based sales, ensuring accuracy, timeliness, and alignment with commercial terms and contractual requirements.
  • Support and improve sales and commercial processes including proposal coordination, pricing workflow, contract review, forecasting, sales reporting, and order execution.
  • Partner with sales, finance, operations, customer service, and project teams to resolve order-related issues and ensure smooth handoff from commercial activity to execution.
  • Validate and convert sales lead programs; maintain sales incentive statistics and targeted campaigns; assist with business segment development.
  • Facilitate new customer set-up by gathering necessary documentation such as W9 and Certificates of Insurance.
  • Distribute customer communications following sale and installation; resolve complex or unusual requests requiring customized responses.
  • Review, edit, organize, and maintain proposal-related documents on SharePoint; generate proposals for existing customers and follow up as directed by sales team.
  • Support account management by ensuring CRM and process data accuracy; run CRM opportunity tracking and ad hoc reports; update CRM data as needed.
  • Review, submit, and track job packages; support and process Return Merchandise Authorization (RMA) requests.
  • Collaborate with other departments to improve overall customer experience and follow up with customers to ensure satisfaction.
  • Stay updated on industry trends and competition to provide insights to the sales team.

  • Preferred experience supporting complex engineered solutions, capital projects, or dewatering-related commercial processes.
Compensation & Benefits
  • Estimated salary range: $65,400 - $80,000, dependent on skills, experience, and location.
  • Competitive compensation package including Medical, Dental, and Vision plans.
