The role covers sales coordination, marketing execution, and office administration in a small, fast-moving team. Candidate must handle calls, CRM management, content creation, and travel to the UT facility for All Hands meetings.

Qualifications

  • 2-5 years in a sales support, marketing, coordinator, or administrative role; construction, real estate, or hospitality backgrounds are a plus.
  • Experience working in a CRM; HubSpot fluency strongly preferred.
  • Hands-on experience managing business social accounts (Meta Business Suite, Instagram, LinkedIn).
  • Working knowledge of Canva and/or Adobe Creative Suite for collateral (preferred).
  • Proficient with basic photo and video editing and organizing large media libraries.

Responsibilities

  • Review and respond to incoming leads via email; conduct first discovery calls to qualify prospects.
  • Maintain and optimize HubSpot CRM records and follow-up sequences.
  • Assist with updating sales materials and develop promotional content (flyers, brochures, ads).
  • Manage contracts, quotes, HOA docs, and project paperwork; coordinate travel as needed.

We are seeking a dynamic, detail-oriented Sales Coordinator & Office Manager to support our teams across all three locations. The ideal candidate will provide sales, marketing, and operational support to our Sales Manager and Business Development Manager — strengthening our ability to manage client relationships, tell the SmartPads story in the market, and move projects forward. This role offers an excellent opportunity for growth within the modular prefab and custom home-building industries, as well as broad exposure to sales, marketing, and construction.

POSITION OVERVIEW

The Sales Coordinator & Office Manager supports the Sales Operations Manager in cultivating relationships across our sales pipeline, carries the day-to-day marketing execution for the SmartPads brand, and supports the balance of our project management team in the Steamboat/Denver office. This is a wear-many-hats role on a small, fast-moving team. The right person is comfortable taking a first call with a prospective family in the morning, coordinating a drone shoot at a jobsite in the afternoon, and drafting next week’s social calendar in between.

Key Responsibilities:
SALES COORDINATION:
  • Review and respond to incoming leads via email, and conduct initial discovery and follow-up calls to qualify prospects and keep them moving.
  • Own the day-to-day health of our CRM (HubSpot): maintain lead records, log client interactions, build and manage follow-up sequences, and keep the pipeline current.
  • Help refine our CRM configuration and sales processes as the business scales.
  • Assist with updating sales materials, and partner with leadership to develop and distribute promotional materials such as flyers, brochures, and digital advertisements.
  • Assist with managing and organizing contracts, shipping and setting quotes, HOA documents, and related project paperwork.
  • Serve as a bridge of communication between prospective clients and the Sales Operations Manager — relaying messages, updates, and requests promptly and accurately.
  • Quarterly travel to our production facility in Vernal, UT for the “All Hands Team Meeting” is required.
MARKETING COORDINATION:
  • Plan, write, and publish social content across Instagram, Facebook, and LinkedIn, maintaining a consistent posting calendar that keeps our projects, people, and process in front of the market.
  • Coordinate professional and drone photography: schedule photographers, secure site and homeowner access, build shot lists, and manage delivery, licensing, and organization of final assets.
  • Maintain an organized photo, video, and floor plan library so sales and marketing assets are easy to find and reuse.
  • Create and update marketing collateral for both digital and print — model brochures, spec sheets, floor plan one-pagers, presentation decks, property and jobsite signage, and event materials.
  • Support events and community presence: home shows, open houses, model home tours, realtor and broker events, and chamber or industry functions — including logistics, materials, setup, and follow-up.
  • Keep the SmartPads website current with new project pages, photo galleries, and team or press updates, and flag content gaps as you spot them.
  • Help maintain brand consistency across everything that leaves the office: templates, tone, logo usage, and photography standards.
  • Take on ad hoc marketing projects as they arise.
OFFICE MANAGEMENT:
  • Serve as a first point of contact for the Steamboat office — greeting clients and visitors, fielding calls, and directing inquiries.
  • General administrative duties including office organization, supply and vendor management, meeting scheduling, and travel coordination.
  • Support the Steamboat-based Associates with the daily operations of project management.
  • Maintain organized digital filing across shared drives and project folders.

  • Comfortable wearing multiple hats and shifting between sales, marketing, and administrative work in the same day
  • A creative eye — you notice when something looks off-brand, and you care enough to fix it
  • Self-starting and resourceful, with sound judgment about when to run with something and when to ask
Technical Skills & Qualifications
  • 2-5 years of experience in a sales support, marketing, coordinator, or administrative role; construction, real estate, or hospitality backgrounds are a plus
  • Experience working in a CRM; HubSpot fluency strongly preferred
  • Hands-on experience managing business social accounts (Meta Business Suite, Instagram, LinkedIn)
  • Working knowledge of Canva and/or Adobe Creative Suite for building digital and print collateral (preferred, not required)
  • Comfortable with basic photo and video editing and with organizing large media libraries
  • Familiarity with website content management (WordPress, Squarespace, or similar) is a plus
  • Ability to manage multiple projects simultaneously while maintaining attention to detail
  • Proficiency in the Microsoft Office suite
  • Valid driver’s license and the ability to travel monthly to Vernal, UT
