The primary responsibility of this role is to ensure prompt and accurate distribution of all inbound documentation, including mail and fax, to the appropriate department. The position supports the documentation process across multiple teams, with a focus on correctly linking patient-related documents to records and processing training documentation from Clinical Specialists. Familiarity with document routing software is essential.

Key Responsibilities

• Receive, open, scan, and distribute all inbound mail and faxed documents to appropriate departments
• Accurately link scanned documentation to patient records within the system
• Process and manage training records submitted by Clinical Services Managers
• Handle daily field correspondence in a timely manner
• Provide feedback and updates to the management team as needed
• Support additional duties and projects assigned by management
• Perform other administrative tasks as required

Education & Experience

• Minimum Education: Associate’s Degree preferred
• Preferred Experience:
• Background in diabetes care or patient support
• Experience working with Salesforce CRM
• Strong attention to detail and ability to follow up on outstanding issues
• Excellent written and verbal communication skills
• Analytical and problem-solving abilities
• High level of initiative and commitment to task completion
• Team-oriented mindset with ability to collaborate across departments
• Adaptability to fast-paced, high-volume work environments
• Resilient and flexible in approach to changing priorities
