Our client is a small and niche media company focused on advertising and sponsorship sales for membership-based media in the film and television industry, who are experts in their field. They have a collaborative and family-style culture and are now looking for a positive and proactive Sales Coordinator to support their team in this remote-first role. You would have to be in the LA County area (California) however to do occasional team meetings and attend award events during peak season.
Key Responsibilities
- Coordinate meetings, scheduling, and follow-up actions for the sales team
- Prepare and distribute sales materials, presentations, and proposals
- Assist in maintaining client relationships and deliverables
- Manage communications and follow-ups for client accounts
Administrative Support
- Take and distribute meeting notes, track action items and deadlines
- Maintain and organize sales files, assets, and shared drives
- Support account managers with correspondence, insertion orders (IOs), and documentation
- Assist the accounting team with overflow contract needs
- Update and manage CRM software to ensure data accuracy
- Conduct market research on potential advertisers and sponsors
- Track advertising trends, competitor activity, and target demographic insights
- Analyze findings to inform sales strategy and identify growth opportunities
Qualifications
- Previous experience in sales coordination or administrative support, preferably in media or advertising
- Familiarity with the film, television, and/or music industries
- Proficiency in Magazine Manager (Mirabel), Google Suite, Microsoft Office (Excel, PowerPoint), and scheduling tools
- Experience with project management tools (Monday, Jira, Asana)
- Strong research skills; experience with ZoomInfo, LinkedIn, IMDBpro
- Excellent written and verbal communication skills
- Strong organizational skills with attention to detail
- Ability to manage multiple priorities and meet deadlines
- A positive and proactive self-starter with the ability to work independently with limited supervision
Preferred Qualifications
- Experience working with Guilds, Labor Unions, or entertainment organizations
- Proven ability to analyze data and present insights
- Track record of exceeding deadline targets
- Strong relationship-building and interpersonal skills
- Highly motivated with a passion for sales and media
