The Sales Assistant will be responsible for supporting sales efforts and administrative functions for the Vice President of Business Development. Duties will include assisting with customer relations, facilitating the sales process, completing various tasks performed by the sales department, and supporting all efforts for service demonstrations and sales calls.

The Sales Assistant will need to coordinate schedules, lead key correspondence and CRM entries, manage travel efforts, and support meeting and event needs of the sales team. The Sales Assistant will be a key representative of the sales department and will work to ensure partners and/or clients have positive experiences.

Primary responsibilities are:

  • Be the check point for leads and referrals.
  • Scheduling appointments and activities for sales staff.
  • Support RFP (Requests For Proposals) analysis.
  • Support sales events and any associated coordination of in-person meetings for the sales staff.
  • Prepare various key metric reporting and status reports demonstrating progress in achieving departmental objectives.
  • Ensure compliance and completion of necessary documents related to contracts.
  • Assist in maintaining high levels of service, and response times for key sales leads.
  • Develop and implement sales activities as required for business needs.
  • Coordinate delegated sales efforts with marketing.
  • Coordinate delegated program training efforts among departments.
  • Provide timely sales updates with a focus on territory strengths, weaknesses and account specific opportunities and threats.
  • Support the mission, vision, and values of OptiMed Health Partners.
  • Understands industry, involved parties, and key elements of the sale’s process.
  • Is effective in a variety of communication styles.
  • Good Time and project management skills.
  • Is persistent in accomplishing objectives, despite obstacles and/or setbacks.

  • Proficiency with Microsoft Office products, including Word, Excel, Outlook, Teams, as well as CRM experience (preferred platform is Monday.com), as well as other office systems including automation and AI functions.

Supervisory Responsibilities: This position has no direct reports and will report to the Vice President of Business Development.

Minimum Qualifications:

Bachelor’s degree in business or 7+ years as an administrative assistant, with a focus on healthcare, marketing, or a related field. Strong interpersonal and communication skills, with the ability to develop and deliver presentations in many mediums (including remote and live speaking opportunities). Previous sales or sales training experience in healthcare, specialty pharmacy or insurance industry is preferred. This person will be required to maintain a professional appearance and provide a positive company image to the public. They will be expected to support project management and showcase cross-functional team collaboration skills, with a demonstrated ability to plan, drive results and achieve deadlines is key.

This role will require occasional overnight travel, and weekend and/or evening work as necessary.
