Position Summary:

The Sales & Event Coordinator is often the first point of contact for clients and plays a vital role in creating a warm and professional experience. This individual must demonstrate strong customer service skills, active listening, attention to detail, and consistent follow-through to ensure seamless communication and satisfaction throughout the planning process. This position supports the sales team with administrative, planning, and coordination duties for both private group bookings and resort-wide events.

Key Responsibilities:

  • Serve as the initial contact for incoming event inquiries, providing prompt and courteous responses.
  • Assist the sales team in booking, detailing, and coordinating group events and social functions.
  • Support resort-wide event planning in collaboration with various departments.
  • Accurately generate and update Banquet Event Orders (BEOs) and track all details in sales software and property systems.
  • Coordinate communication with clients regarding event logistics, timelines, and special requests.
  • Assist in the preparation of materials such as rooming lists, welcome notes, and amenity coordination.
  • Attend and help facilitate banquets, catering functions, and resort events as needed.
  • Manage vendor communications and rental orders for private events.
  • Coordinate internal meetings and department events as directed.

What We’re Looking For:

  • High school diploma or equivalent; 2+ years of related hospitality or event planning experience.
  • Proficiency in Microsoft Office; knowledge of Delphi/Salesforce or similar CRM/event software a plus.
  • Excellent interpersonal and communication skills, with a customer-first mindset.
  • Ability to juggle multiple projects and deadlines with professionalism.
  • Physical ability to lift up to 50 lbs. and assist with event setup and breakdown when needed.
  • Availability to work weekends and holidays for scheduled resort events.
