Job summary

LVD Strippit, Inc. in New York seeks a Sales Administrator to support domestic and international machine orders from entry to delivery. You will prepare quotations, manage pricing tools, and maintain ERP/Salesforce records while ensuring data integrity across the equipment lifecycle.

The role requires strong communication, organization, and multitasking in a collaborative environment with cross-functional teams and global shipments.

Qualifications

• Associate degree in business administration or related field.
• 1–3 years of experience in sales administration, order management, or logistics.
• Prior experience in a B2B manufacturing or capital equipment environment is a plus.

Responsibilities

• Respond to inquiries from sales engineers regarding quotations, orders, shipments, and docs.
• Prepare quotations for machinery as requested by sales engineers.
• Maintain sales tracking tools, reports and documentation for sales activities.
• Update machine quotation templates using price books to reflect current pricing.
• Create customer accounts and machine records in ERP and Salesforce.
• Coordinate order management, changes, and shipping with internal teams.

Job description

The Sales Administrator serves as a key point of contact for sales operations, providing administrative, operational, and logistical support across multiple functions. This role manages the full lifecycle of domestic and international machine orders—from order entry through shipment and delivery—while ensuring effective communication between sales engineers and internal departments. In addition to order management, the Sales Administrator supports sales operations by preparing quotations, maintaining pricing tools, managing sales-related reports and spreadsheets, and maintaining accurate customer and asset records within Salesforce and ERP systems to ensure data integrity and consistency throughout the equipment lifecycle. This position reports directly to the National Sales & Marketing Manager of North America.

Your responsibilities

• Respond promptly and professionally to inquiries from sales engineers via phone and email regarding quotations, order status, shipments, and documentation.
• Prepare quotations for machinery as requested by sales engineers.
• Maintain sales tracking tools, reports, and documentation to support sales activities.
• Maintain and update machine quotation templates using the provided price books to reflect current pricing.
• Create new customer accounts and machine records in ERP and Salesforce.
• Maintain customer account and machine information, including ownership transfers and account updates within ERP and Salesforce to support sales and service.

Order Management & Administration

• Process machine orders and distribute order acknowledgments to sales engineers and other internal departments.
• Manage change orders, including shipment date revisions, product additions or removals, and delivery location updates.
• Communicate order changes effectively with sales, accounting, service, manufacturing, and other affected departments.
• Maintain complete, accurate, and organized records for all active and/or completed machine orders.
• Maintain monthly order spreadsheets and reports.
• Create corresponding parts sales orders for purchase orders received from LVD Belgium, LVD S3, and LVD CNC.

Shipping & Logistics Coordination

• Lead weekly shipping and scheduling meetings to review production status, delivery timelines, and customer commitments.
• Collaborate with international LVD sales offices to manage global shipments.
• Communicate shipment schedules and delivery updates to sales engineers and service departments to ensure effective coordination of installation and customer support.
• Coordinate shipping instructions with shipping department to align production and delivery schedules.
• Support compliance with import/export and shipping procedures as required.

Marketing Support

• Support the planning and coordination of company events, trade shows, customer visits, and other marketing initiatives.
• Perform additional duties as assigned to support sales administration, marketing, and logistics functions.

Qualifications

• Associate's degree in business administration or a related field, or equivalent combination of education and experience
• Minimum of one to three years of experience in sales administration, order management, or logistics coordination.
• Prior experience in a B2B manufacturing or capital equipment sales environment, preferred but not required.
• Knowledge of logistics coordination, import/export compliance, or supply chain procedures a plus
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Prior experience with ERP or CRM systems, preferred.
