The Sales Administrator will provide essential administrative and coordination support to the Business Development and Sales teams, helping to maximise quotation success, maintain accurate sales information, and ensure the smooth operation of sales and marketing activities. The role requires excellent organisational skills, attention to detail, and the ability to manage multiple priorities across customer engagement, CRM administration, bid support, and marketing initiatives.
Key Responsibilities And Accountabilities
- Sales Support
- Support the preparation, submission, and tracking of quotations to improve conversion rates and quotation success.
- Obtain client feedback on bids to support future tender opportunities
- Assist with the production and administration of sales documentation, ensuring records are accurate and up to date.
- Maintain and update sales opportunities, leads, and customer information within the CRM system.
- Support bid and tender activities through administrative coordination and document management.
- Provide administrative support for Pre-Qualification Questionnaires (PQQs), ensuring information is accurate and submitted on time.
CRM and Document Management
- Manage sales documentation across the CRM system and shared company drives.
- Ensure all customer interactions, opportunities, and business development activities are accurately recorded and maintained.
- Support the implementation of best practice processes for document control and record keeping.
Bid Portal Administration
- Manage and monitor customer bid portals.
- Download tender opportunities, upload submissions, and ensure deadlines are tracked and met.
- Maintain records of tender activity and submission outcomes
Customer And Meeting Support
- Attend customer meetings alongside members of the sales team when required.
- Prepare meeting notes and minutes, ensuring actions are recorded and distributed.
- Support the follow-up of agreed actions and customer requirements.
Marketing And Events Coordination
- Support company marketing activities through attendance at conferences, exhibitions, and industry events.
- Assist with trade show and exhibition planning, coordination, and administration.
- Help maintain marketing materials, contact databases, and event records.
- Support lead generation activities arising from conferences, trade shows, and customer engagement events.
Qualifications
- A relevant sales, commercial or marketing qualification [desirable].
Experience
- Previous experience in a sales administration, business support, or commercial administration role. [Essential]
