This role blends organization, customer service, and teamwork to keep tours and memberships running smoothly. You will handle contracts, packets, CRM data entry, reports, payments, and office logistics, working closely with the sales staff to provide the materials and documentation needed for successful transactions.

Qualifications

• 1–2 years of administrative or office experience.

• Welcome and engage prospective members until a Sales Representative begins the tour.
• Support the sales team with contracts, welcome packets, and marketing materials.

• Process payments including credit and credit card authorizations.

This role is perfect for someone who enjoys staying organized, assisting a team, and interacting with people. As the administrative backbone of our sales operation, you’ll help ensure tours run smoothly, documentation is accurate, and our sales team has everything they need to succeed.

What You’ll Do

• Welcome, greet, and engage prospective members until a Sales Representative begins the tour.
• Support the sales team with administrative needs including contracts, welcome packets, and marketing materials.
• Create contract folders and prepare documentation needed for sales transactions.
• Enter and manage data using a CRM system.
• Assist the Sales Manager and sales staff with both prospective and current members.
• Create reports using Salesforce, Excel, or Word.
• Process payments including credit and credit card authorizations.
• Maintain office and sales inventory supplies.
• Help maintain sales support materials and general office organization.

What We’re Looking For

• High school diploma or equivalent
• 1–2 years of administrative or office assistant experience
• Experience working in a customer service environment is a plus
• Strong verbal and written communication skills
• Strong organizational and basic mathematical skills
• Proficiency with Microsoft Office
• Ability to maintain confidentiality of member and prospective member information
• Ability to stay organized and effective during busy periods in a fast-paced environment
• Professional appearance and strong interpersonal skills

This position works closely with the sales team and plays an important role in creating a positive first impression for prospective members.
