Job summary

Ace-Worldwide-Group-of-Companies is seeking a Safety Coordinator to help enforce safety policies and procedures across the organization. The role focuses on driver safety, regulatory compliance, and safety training to minimize risk and incidents.

The candidate will manage safety paperwork, maintain vehicle and driver records, and coordinate safety communications and monthly reports. This position involves office-based work with some travel to local warehouse locations.

Qualifications

  • High School Diploma required.
  • 2-3 years experience with driver safety and OSHA/Regulatory standards preferred.
  • Excellent written and verbal communication skills.

Description

The Safety Coordinator assists with enforcing safety policies and procedures for the company.

Job Responsibilities
  • Create, review, file and maintain all safety department paperwork.
  • Process new driver information, ensuring all information is obtained timely and retained per regulations.
  • Audit and update driver information monthly and upon hire of any new driver.
  • Daily review of electronic logs and educating drivers on log errors or proper use of electronic use per DOT standards and company policy.
  • Create, review, and maintain vehicle files in accordance with regulations and Ace policies and procedures, ensuring company has an up-to-date vehicle list in all current systems.
  • Maintain database of mileage and fuel documentation for reporting.
  • Track timeliness pertaining to annual permits for drivers or vehicles.
  • Provide safety communications with drivers and employees, including display cases and safety messages.
  • Track and collect all required monthly maintenance reports and equipment files for each piece of equipment to include but not limited to annual inspections, monthly maintenance reports, running documents, etc.
  • Notify terminals of random driver drug screens and ensure all tests are done properly and within the required time frames.
  • Work with other departments to perform safety inspections and observe safe work methods per OSHA standards and company policy, including first aid kits and eye wash stations; maintain files for such inspections.
  • Investigate roadside inspection reports and counsel drivers to ensure issues are resolved; retrain and coach drivers as necessary.
  • Participate in off-site training, as well as participate in and conduct meetings as required.
  • Work with company leadership to develop and implement new training programs and safety procedures.
  • Miscellaneous safety responsibilities and other duties as assigned.

Administrative work is done inside in an office setting where the noise level in the work environment is usually moderate. Other work is performed outdoors, and the environment may be loud, dusty, or is exposed to weather conditions. The work week is regular office hours Monday-Friday with evening and weekend work if required due to operational necessity.

Requirements
  • High School Diploma
  • 2-3 years of experience working with driver safety, Federal, State, Local, and DOT regulations. (preferred)
  • 2-3 years of experience working with OSHA regulations in a warehousing/manufacturing environment. (preferred)
  • Ability to work independently and in a team environment.
  • Excellent communication skills via in-person, email, text and/or telephone.
  • Strong analytical and problem-solving skills.
  • Experienced in Microsoft Office tools.
  • Excellent attention to detail
  • Ability to multi-task and change direction quickly and easily.
  • Assertive, well organized team player, able to lead and motivate others to achieve operational goals in a safe and legal manner.
  • Willing to travel between local warehouse locations
  • OSHA 10 certified (preferred)
