Job summary

• Assist with data reporting and preparation of safety updates for leadership.
• Provide general coordination and administrative support to the Safety Management team.
• Escalate imminent danger to Operations leadership and Safety Manager.

Description

Primary duties include, but are not limited to:

• Assist with equipment and vehicle safety inspections, including documenting findings, tracking corrective actions, and escalating high-risk issues to the Safety Manager.
• Support telematics/IVMS review routines by pulling reports, identifying trends, and preparing coaching materials for leaders and drivers.
• Coordinate or assist with IVMS-based coaching processes, including scheduling, documentation, and follow-up verification to support behavior improvement and risk reduction.
• Support consistent implementation of UVL safety policies, standards, and procedures across assigned locations and work activities, including reinforcement of stop-work expectations.
• Maintain and update safety tracking tools and documentation (inspections, coaching records, corrective action logs, training records) to ensure audit-ready files and visibility to leaders.
• Assist with incident and near-miss documentation by collecting initial information, organizing evidence, and ensuring timely routing to the Safety Manager and Compliance.
• Track and support closure of corrective actions from incidents, audits, inspections, observations, UVL standard non-conformances, and customer/regulatory findings; escalate overdue actions.
• Support safety communications and learning, including distributing safety alerts, toolbox talks, and reminders developed by the Safety Management team.
• Assist with basic data reporting (leading/lagging indicators) and preparation of monthly/weekly safety updates for leadership review.
• Provide general coordination and administrative support to the Safety Management team, including scheduling, meeting notes, and follow-up on action items.
• Escalates imminent danger or uncontrolled high-risk conditions immediately to Operations leadership and the Safety Manager.
• May recommend coaching, retraining, or procedural updates when performance gaps are observed, in coordination with the Safety Manager.
• Supports compliance assurance by identifying and communicating gaps related to UVL standards and applicable DOT, FMCSA, PHMSA, OSHA, and state/local requirements.

Position Requirements:

• Valid driver’s license and ability to travel locally as required.
• Requires up to 50% travel, as business needs require.

Physical Requirements:

• Stand and walk frequently throughout terminals, warehouses, yards, maintenance facilities, and office locations.
• Operate a motor vehicle and travel to various company locations as needed.
• Climb stairs, ladders, trailer steps, truck steps, and elevated platforms while conducting inspections.
• Perform visual inspections requiring close, distance, color, peripheral, and depth perception.
• Work in varying weather conditions, including heat, cold, humidity, rain, and other outdoor environmental conditions.
• Tolerate exposure to moving vehicles, heavy equipment, noise, dust, fumes, and other operational hazards.
• Occasionally lift, carry, push, or pull up to 25 pounds and, infrequently, up to 50 pounds with or without reasonable accommodation.
• Wear required personal protective equipment (PPE), including safety vest, hard hat, safety glasses, gloves, and steel-toe footwear when required.

Working Conditions:

• Combination of office, terminal, warehouse, yard, and field environments.
• Regular interaction with drivers, mechanics, operations personnel, and customers.
• Travel between company facilities and customer locations as required.
• May be required to work outside of normal business hours during incident investigations, audits, inspections, or emergency response activities.
