The position will coordinate safety training, assist with Workers’ Compensation processes, and support return-to-work initiatives, while promoting a safe work environment across office and field operations.

Qualifications

  • 2-4 years in an administrative, operations, safety or coordination role.
  • Experience maintaining confidential records and tracking compliance related documentation.
  • Familiarity with OSHA requirements and workplace safety practices.

Responsibilities

  • Maintain accurate and up-to-date EHS records (SDS, incident reports, inspections, training, certifications).
  • Organize safety files for internal audits and regulatory inspections.
  • Track safety metrics (recordable incidents, near misses, training completion, corrective actions).
  • Prepare weekly and monthly safety reports for management.
  • Assist with Workers’ Compensation claims coordination and return-to-work programs.
  • Coordinate safety training (new-hire orientations, forklift, First Aid/CPR, HazCom).
  • Assist Safety Committee with meetings and action-item tracking.
  • Conduct routine safety walkthroughs and document concerns.

Job description

  • Maintain accurate and up-to-date environmental, health, and safety (EHS) records, including Safety Data Sheets (SDS), incident reports, inspection logs, training records, and certifications.
  • Organize, maintain, and periodically review safety files to ensure readiness for internal audits and regulatory inspections.
  • Track safety and compliance metrics, including recordable incidents, near misses, training completion rates, and corrective actions.
  • Prepare concise weekly, monthly, and other periodic safety reports for management.
  • Assist with the administrative coordination of Workers’ Compensation claims, working with Human Resources, insurance representatives, medical providers, and management as appropriate.
  • Assist with documentation and coordination of return-to-work and modified-duty programs.
Training & Program Coordination
  • Schedule and coordinate new-hire safety orientations and ensure required acknowledgments, training records, and supporting documentation are properly maintained.
  • Maintain the company safety training calendar and monitor certification and training expiration dates.
  • Coordinate required training and recertification, including forklift, First Aid/CPR, Hazard Communication (HazCom), and other applicable safety training.
  • Provide administrative support for the Safety Committee, including preparing meeting agendas, documenting meeting minutes, maintaining records, and tracking assigned corrective or action items through completion.
  • Assist management with communicating safety policies, procedures, and workplace safety initiatives to employees.
Field & Operational Safety Support
  • Conduct routine workplace and facility walkthroughs to identify and document potential safety concerns.
  • Assist with periodic inspections of safety equipment and supplies, including fire extinguishers, eyewash stations, first-aid kits, and PPE, and maintain applicable inspection logs.
  • Support incident investigations by collecting employee statements, organizing documentation and evidence, and maintaining centralized files for incidents and corrective actions.
  • Monitor outstanding safety concerns and corrective actions and follow up with appropriate departments regarding completion.
  • Maintain inventory and coordinate purchasing of Personal Protective Equipment (PPE) and other safety-related supplies, while monitoring usage and applicable budget requirements.
  • Promote a positive workplace safety culture by encouraging employee awareness, participation, and compliance with established safety practices.
Qualifications
  • 2-4 years in an administrative, operations, safety or coordination role
  • Previous experience with an EHS logistics, transportation, warehousing, moving, construction or similar operational environment preferred
  • Experience maintaining confidential records and tracking compliance related documentation
Safety Knowledge
  • Basic working knowledge of workplace safety practices and applicable OSHA requirements.
  • General understanding of workplace injury reporting, incident documentation, safety inspections, and corrective-action tracking.
  • Familiarity with Workers’ Compensation administration is preferred.
Administrative & Organizational Skills
  • Exceptional organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Ability to maintain organized electronic and physical records.
  • Ability to manage multiple assignments, deadlines, and follow-up items simultaneously.
  • Ability to handle sensitive and confidential information appropriately.

  • Ability to communicate professionally and effectively with employees, supervisors, management, vendors, medical providers, and outside business partners.
  • Comfortable working with employees in both office and operational/field environments.
  • Ability to work independently while effectively collaborating with Human Resources, Operations, and Management.
