Job summary

Gray Hawk Land Solutions in El Paso, TX seeks a Document Specialist to own the integrity, organization, and accuracy of right-of-way project files throughout the lifecycle. You will ensure easements, deeds, and ownership records are correctly processed, tracked, and accessible for field teams, managers, and clients.

This role emphasizes data entry, Excel-based tracking, and coordination with internal and external partners.

Qualifications

• Minimum five years of experience preparing and processing ROW documents.
• Understanding of all phases from line list to construction.
• Ability to review, interpret, and process land agreements and deeds.
• Knowledge of courthouse recording requirements for easements and ROW instruments.
• Advanced MS Office skills, especially Excel and Word.
• Strong data-entry and record-keeping abilities.
• Excellent written and verbal communication; able to work independently.

Responsibilities

• Manage and organize all ROW project files from line list to construction.
• Review and track land acquisition agreements and deeds.
• Enter data into client systems and maintain line lists.
• Scan, file, and organize documents in electronic and physical records.
• Track deadlines and milestones across concurrent projects.
• Create Excel-based tracking spreadsheets with formulas.
• Coordinate with field agents, teams, and outside parties.
• Maintain audit-ready records and project-status documentation.
• Represent Gray Hawk professionally in client and partner interactions.
