Job summary

Gray Hawk Land Solutions is seeking a Document Specialist to ensure integrity and organization of right-of-way project files from line list through construction, with in-office duties in El Paso, Texas. You will manage easements, deeds, and ownership records, and maintain data in client systems while coordinating with field teams and clients.

The role requires five years of ROW document experience, advanced Excel/Word skills, and strong attention to detail.

Qualifications

• Five+ years of experience preparing and processing ROW acquisition documents.
• Thorough understanding of all phases of a right-of-way project from line list to construction.
• Ability to review, interpret, and process land acquisition agreements and title documents.
• Knowledge of courthouse recording requirements for easements and ROW instruments.
• Advanced Microsoft Office, especially Excel and Word.
• Strong data-entry skills and the ability to learn new systems quickly.
• Exceptional organization and attention to detail; manages multiple priorities and deadlines.
• Excellent written and verbal communication; able to work independently yet team-oriented.

Responsibilities

• Manage and maintain all ROW project files from line list to construction.
• Review, process, and track land acquisition agreements, easements, and related documents.
• Maintain accurate line lists and enter data into client systems of record.
• Scan, file, and organize documents in electronic and physical records systems.
• Track deadlines and project milestones across multiple concurrent assignments.
• Build and maintain Excel-based tracking spreadsheets and reports.
• Coordinate with field agents, internal teams, and outside parties to keep projects moving.
• Represent Gray Hawk professionally in all client and partner interactions.
