Job summary

AnswerNet is seeking an experienced RFP Manager to lead the proposal engine and guide our execution team in delivering high-quality, scalable proposals. You will supervise the proposal ops team, enforce tiered reviews, and drive automation, content governance, and data-driven strategies across initiatives.

You will lead the development of AI-assisted workflows, manage a repository of boilerplate content and win themes, and ensure timely delivery on strategic pursuits with strong messaging

Qualifications

• 4+ years of hands-on experience managing, coordinating, or writing complex proposals and RFPs.
• Experience leading teams in fast-paced environments (proposal ops, marketing ops, tech, or sales ops).
• Hands-on experience with AI prompt libraries (Gemini) for writing and workflows.

Responsibilities

• Direct, mentor, and elevate the proposal ops team and oversee end-to-end proposal delivery.
• Streamline proposal operations and maintain steady throughput across active pursuits.

Job Summary

Are you an experienced operational leader who excels at managing proposal teams, driving modern AI workflows, and enforcing project discipline? We are seeking an RFP Manager to take operational leadership of our proposal engine, guide our execution team, oversee strategic writing, and ensure scalable, high-quality proposal delivery.

This is a high-visibility operational leadership role that positions AI workflow design and prompt optimization at the forefront of our proposal strategy. Reporting directly to the Director, you will manage our proposal ops team, enforce tier-based review protocols, and drive operational excellence through modern automation, content governance, and data-driven strategy.

Key Responsibilities

1. Team Leadership and Operations

• Operational Leadership: Direct, mentor, and elevate the proposal ops team, fostering a high-accountability culture, balancing workloads, and overseeing end-to-end proposal delivery.
• Process Optimization & Workflow Management: Streamline day-to-day proposal operations, proactively clearing delivery bottlenecks, optimizing task delegation, and maintaining steady throughput across all active pursuits.
• Capacity & Pipeline Balancing: Balance team workload distribution between high-stakes enterprise bids and high-speed volume proposals.
• Performance Analytics: Track team capacity, proposal velocity, and resource allocation to optimize overall output and report performance directly to the Director.

2. AI Prompt Architecture & Process Governance

• AI Workflow Design: Build, test, and optimize standardized Gemini prompt templates, Gemini Notebooks, and automated drafting workflows to accelerate response velocity and quality.
• Content Repository Governance: Architect and maintain a dynamic, AI-searchable repository of approved boilerplate content, case studies, past performance assets, and executive win-themes.
• AI Quality Assurance Standards: Establish QA parameters to ensure all AI-generated drafts are fact-checked, compliant, tone-aligned, and tailored to specific client pain points.

3. Quality Assurance, Review Framework & Strategic Writing

• Scalable Review Protocols: Establish tier-based review processes and spot-checking standards so the team can submit lower-tier bids autonomously, reserving full manager review for high-value or complex strategic pursuits.
• Targeted Writing & Editing: Step in to draft, refine, or polish executive summaries and key win-themes for major strategic pursuits, while guiding team members on standard narrative sections.
• End-to-End Proposal Governance: Ensure overall proposal compliance, messaging alignment, and rigorous deadline enforcement across all active pursuits.

4. Win/Loss Analysis & Strategy

• Win/Loss & Post-Mortem Analysis: Conduct comprehensive post-mortem reviews on completed bids to analyze loss patterns, track evaluators and feedback, and

Qualifications and Experience

• Proven Team Leadership: Demonstrated track record of direct line management, team leadership, or operational management in a fast-paced environment (proposal ops, marketing ops, tech, or sales operations).
• Proposaland Operational Domain Knowledge: 4+ years of hands-on experience managing, coordinating, or writing complex proposals and RFPs.
• AIand Automation Fluency: Hands-on experience constructing, refining, and managing generative AI prompt libraries (specifically Gemini, Gemini Notebook/NotebookLM) for writing and operational workflows.
• Analytical and Post-Mortem Capability: Proven track record running process post-mortems or bid win/loss analyses and turning feedback into actionable workflow and narrative improvements.
• Education andBackground: Bachelor’s degree, or equivalent real-world experience, in Business Operations, Project Management, Communications, or a related field. APMP accreditation, PMP certification, or formal AI/Prompting credentials are a major plus.
