Job summary

Charles Schwab Corporation is seeking an Implementation Specialist within the Plan Administration and Implementation team. You will drive high-quality execution of new business conversions and liaise with internal and external stakeholders to ensure smooth transitions.

Responsibilities include documenting milestones, coordinating fund setups, loading participant data, and preparing loans and vesting data for transfers. A collaborative, detail-oriented approach is essential.

Qualifications

• Bachelor's degree or equivalent experience required.
• 4+ years in financial services/record keeping with Defined Contribution Plan Services preferred.

Responsibilities

• Document project milestones regarding plan/participant data reviews in Excel.
• Set up funds for new conversion in coordination with CSTB, RIS and Asset Maintenance.
• Communicate with offshore on loading participant-level data and plan maintenance setup.
• Load and review census data for SOX notifications and open enrollment.
• Prepare loans, investment elections, vesting and tax data for participants transitioning to Schwab.
• Manage caseload using Work Request system for plan changes.

The Implementation Team within Plan Administration and Implementation (PAI) is committed to providing a seamless transition of plan and participant records to Schwab for both new business conversions and ongoing plan mergers. Our goal is to lead the industry in plan conversions through a proven process that focuses on quality, timeliness and the best overall conversion experience for our clients and their employees.

The Implementation Specialist position will be responsible for the high-quality execution of all aspects of new business conversions.

What you’ll do:

Implementing and communicating with internal and external stakeholders of the conversion including prior record keepers, internal Schwab teams, plan sponsors, Trustee/Custodian, and advisors (if needed). Day to day responsibilities include but are not limited to:

• Documenting all project milestones regarding plan/participant data reviews in excel format
• Working with CSTB, RIS and Asset Maintenance on setup of funds for new conversion
• Communicating with offshore on loading participant level data as well as plan maintenance setup
• Loading and reviewing various census for SOX notifications and open enrollment
• Preparing loans, investment elections, vesting and tax data for participants transitioning to Schwab
• Managing caseload using Work Request system for plan changes

What you have

Required qualifications:

• Requires Bachelor’s degree or equivalent experience
• 4 + years’ experience in the financial services and/or record keeping industry with concentration in Defined Contribution Plan Services (is a plus)

Preferred qualifications:

• QKA designation, preferred but not required
• Strong interpersonal, analytical, problem solving, organizational, decision-making and conflict resolution skills
• Willingness to take the initiative when faced with a new or challenging situation
• Ability and willingness to take on a leadership role in this position including demonstrating a willingness to support new ideas.
• Proficiency in plan administration and ERISA;
• Strong Excel skills.
• Excellent written and oral communication skills
• Strong customer focus, including ability to think in terms of the customers perspective and expectation
• Ability to multi-task among competing priorities
• Proficiency in plan recordkeeping software within 6 months of hire
• Ability to motivate/inspire others to achieve team goals and client satisfaction

In addition to the salary range, this role is also eligible for bonus or incentive opportunities.
