Job summary

Neighborhood Housing Services Baltimore is seeking a Resource Development Coordinator to manage fundraising operations and grant activities. This role ensures the department's infrastructure for fundraising is maintained effectively, supporting the Director in securing funding opportunities.

Job description

Reports to: Director of Resource Development. Work Schedule: Monday – Friday, 8:30 am – 4:30 pm. Location: Baltimore, Maryland. FLSA Classification: Full-Time, Non-Exempt. Salary: $50,000.

Purpose

The Resource Development Coordinator plays a critical operational and strategic support role within the Resource Development department, enabling the organization to pursue funding opportunities with consistency, discipline, and rigor. This position is responsible for owning the day‑to‑day infrastructure of the department’s fundraising operations—including the funding pipeline, grant lifecycle management, funder research, and performance tracking. By maintaining strong systems, accurate data, and organized processes, the Coordinator directly enables the Director of Resource Development to focus on high‑value relationship cultivation, strategic partnerships, and major funding opportunities.

Fundraising Operations & Pipeline Management
  • Maintain and manage the department’s funding pipeline, fundraising calendar, and grant tracking systems, including submissions, reporting deadlines, renewals, awards, grant agreements, and related fundraising activities
  • Monitor funding opportunities, reporting requirements, deadlines, and follow‑up items while preparing pipeline updates and fundraising activity summaries for Director review and leadership reporting
  • Track fundraising activity and key departmental metrics, including submissions, awards, revenue activity, pipeline progress, and fundraising goals
Grant, Reporting & Proposal Coordination
  • Coordinate grant reporting and proposal support activities, including drafting reports, collecting program and financial data, maintaining templates, organizing supporting documents, and managing submission logistics
  • Prepare and maintain grant‑related materials and compliance documentation required for funding submissions and reporting
  • Support the Director with proposal preparation, board and leadership materials, correspondence, and other fundraising‑related documentation as needed
Systems, Data & Administrative Infrastructure
  • Maintain and improve Resource Development systems, databases, file management processes, and operational workflows using Airtable, SharePoint, CRM systems, and related tools
  • Ensure organizational compliance and grant‑related documents remain current, organized, and accessible for reporting and funding submissions
  • Maintain confidentiality, compliance, accuracy, and data integrity across departmental systems, files, and records
Donor Engagement & Campaign Support
  • Manage donor and funder acknowledgment processes, including recordkeeping, thank‑you letters, gift tracking, and follow‑up correspondence
  • Support fundraising campaigns, sponsorship outreach, cultivation events, and donor engagement efforts through email communications, campaign coordination, outreach materials, and content creation using HubSpot, Canva, and related tools
Research & Strategic Support
  • Conduct some research on prospective funders— including foundations, government programs, corporate partners, CDFIs, and financial institutions— to support fundraising strategy and outreach efforts
  • Maintain and organize funder prospect information, deadlines, eligibility requirements, and related materials to support opportunity tracking and Director review
  • Monitor funder websites, grant alerts, and philanthropic resources to identify and share emerging funding opportunities
Team Contribution
  • Participate in department planning meetings and contribute to the improvement of departmental workflows, systems, and processes
  • Perform additional tasks and assist with special projects as assigned

Experience Required
  • Minimum of 2–4 years of experience in nonprofit development, fundraising administration, grants management, or project coordination required
  • Experience with database management using CRM systems, Airtable, SharePoint, or similar database management platforms required
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Sharepoint, Outlook)
Minimum Qualifications
  • Bachelor’s degree in nonprofit management, public administration, communications, or a related field preferred; equivalent combination of education and experience considered
  • Ability to manage multiple projects simultaneously in a fast‑paced environment

  • Database management skills and proficiency with fundraising and operational systems such as Airtable, SharePoint, CRM systems, HubSpot, DonorBox, Canva, or related platforms preferred
  • Grant reporting, compliance documentation, fundraising administration, and grant writing support knowledge preferred
  • Knowledge of research and information gathering related to foundations, government programs, corporate funders, and funding opportunities preferred
  • Troubleshooting, problem‑solving, and independent task management skills with strong follow‑through and accountability
  • Knowledge of nonprofit fundraising, donor engagement, community development, affordable housing, or CDFI‑related funding environments preferred
  • Familiarity with the Baltimore philanthropic and nonprofit community preferred
