About the Opportunity

A well-established nonprofit human-services organization in New York City is seeking a Development Operations Coordinator to join its Office of Institutional Advancement. The organization fosters a culture of philanthropy, emphasizes the lifetime value of its donors, and takes a donor-centered approach aligned to its mission and strategic priorities.

The Development Operations Coordinator is a vital role working closely with the Senior Director of Development and Planned Giving and the Manager of Development Operations to oversee donor record-keeping, systems management, list management, gift processing, reporting, SOP development, donor and gift analysis, and budget monitoring. The role partners across the Office of Institutional Advancement and the Finance Department to gather information and produce effective reports and data analysis on all donor and prospect activity.

Essential Duties and Responsibilities
  • Collaborate with senior leadership in Institutional Advancement and Finance to develop, monitor, and reconcile departmental revenue budgets. Partner with the database management team to ensure the accuracy and integrity of donor records in Raiser's Edge and oversee backend development systems.
  • Design, generate, and distribute internal fundraising performance reports (daily, weekly, monthly, quarterly, and annually) across all giving channels — corporate, foundation, special events, individual and major gifts, planned giving and annuitants, digital and direct mail, and board contributions. Produce accurate donor listings for annual reports, events, and recognition opportunities.
  • In collaboration with the Manager of Development Operations, oversee daily gift processing, data entry, and the timely production and distribution of donor acknowledgment letters. Manage the batching of all gifts, both restricted and unrestricted, including wire transfers. Recommend and implement best practices for gift coding and processing.
  • Coordinate and prepare development progress reports, including data analysis and narrative summaries, for Board and committee meetings. Develop dashboards and visual reporting tools (e.g., KPI tracking) and build pivot-table reports in Excel as required.
  • Oversee tracking and management of event attendees, donors, and prospects in partnership with Major Gifts and Special Event officers and the database management team. Provide training on the Special Events Module and upload event mailing information (guest lists, RSVP lists, etc.).
  • Monitor and improve donor stewardship workflows and lifecycle tracking in RENXT for proposals such as Planned Giving activities. Develop and create queue reports as needed.
  • Manage and streamline administrative operations for the Development Department by establishing efficient workflows. Deliver training and ongoing support to ensure best practices in Raiser's Edge and RENXT data management, and assist in maintaining SOPs.
  • Partner with the Senior Director of Development and Planned Giving and the Manager of Development Operations to supervise Development Associate, Development Assistant, and temporary staff or volunteers — assigning projects, providing training, and monitoring performance.
Qualifications
  • Bachelor's Degree.
  • Minimum five (5) years' fundraising experience and/or equivalent training.
  • Previous development/advancement experience within a large institutional environment is a plus.
  • Minimum five (5) years' experience with Raiser's Edge database technologies, including creating queries, modeling reports, and running exports. Fluency in MS Office; must know MS Excel and pivot tables.
  • Experience with online giving systems, dropbox giving systems, and gifts-in-kind.
  • Excellent oral, written, and interpersonal communication skills; liaises effectively with colleagues and vendors and works well within a team.
  • Strong organizational skills; able to manage a multi-faceted workload and meet strict deadlines in a fast‑paced, detail‑oriented environment.
  • Accuracy and attention to detail; discretion and sensitivity handling highly confidential information, including when supervising staff on details.
  • Team-oriented development strategist able to respond confidently to simple and complex gift scenarios with excellent donor relations.
Schedule and Work Arrangement

Full-time, generally 9:00 AM – 5:00 PM, Monday–Friday. Newly hired employees work on-site five days per week for the first 30 days; thereafter eligible for a hybrid schedule with a minimum of three days per week in the office. Some evening and weekend hours required to meet deadlines and attend events.

Working Conditions
  • Primarily a stationary workstation role using a computer at least 75% of the time.
  • Travel for outreach, events, and meetings approximately 15% of the time via vehicle or public transportation.
  • Ability to move and transport documents and event materials, and engage with the public in social environments.
  • Comfort working under deadlines and project challenges.
