Residential Concierge Assistant

Mandarin Oriental New York is looking for a Residential Concierge Assistant to join our Residential team.

About the job

Based at the Mandarin Oriental New York within the Residential Department in New York City, the Residential Concierge Assistant is responsible for providing 5-star services to all guests/residents and colleagues and assisting the Concierge on duty. The Residential Concierge Assistant reports to the Director of Residence.

As Residential Concierge Assistant, you will be responsible for the following duties:

  • At the direction of the management and the Residential Concierge, apply responsibilities toward the general maintenance and upkeep of owner’s homes and values.
  • Coordinate and organize the daily activities and requests of all residents.
  • Offer a warm, sincere and personalized welcome to all residents.
  • Create special conversations with residents which identify personal preferences in order to record in each guest’s profile history.
  • Have an in depth knowledge of directions, travel time, cost and various forms of transportation.
  • Maintain a constantly updated database with extensive information about city highlights.
  • Demonstrate first hand knowledge of the recommendations with thorough research.
  • Be proactive and anticipate the complete requirements to make the experience a success.
  • Assist the Residential Concierge in the responsibilities away from the desk, including the pick-up and delivery of luggage, groceries, linens, packages, dry-cleaning, messages, tickets, and other items.
  • Maintain and constantly update the record of the above activities in conjunction with the Residential Concierge.
  • Inquire as to the success or enjoyment of the recommendations made.
  • Maintain a consistent and sufficient level of brochures, maps and handouts.
  • Maintain a daily record (via software) of all guest requests, reservations and confirmations for guests.
  • Be knowledgeable of all in-house and arriving guests.
  • Be aware of all daily events in the hotel.
  • Assist Concierge on duty with any resident request.
  • Arrange tickets for theatre, sporting events and local attractions.
  • Make and confirm dining reservations.
  • Handling and organizing resident keys and our KeyTrak System.
  • Develop working knowledge of our 2 web-based systems – GoConcierge and BuildingLink, and keep management apprised of any issues regarding these.
  • Maintain vigilance and awareness of the Desk security monitors when possible.
  • Arrange for package delivery and pickup for residents.
  • Record and provide follow-up procedures for residential work orders.
  • Communicate all important details to management and colleagues.
  • Maintain detailed records of all incoming and outgoing deliveries and packages.
  • Maintain a clean, neat and organized desk.
  • Facilitate the handling of resident Fax documents and other administrative requests.
  • Maintain the presentation standards of a 5 Star Lobby - including light vacuuming and dusting.
  • Respond to all resident needs and requests – including making deliveries, pickups and drop-offs.
  • Other activities as deemed appropriate by Residential Management.

As Residential Concierge Assistant, we expect from you:

  • Able to communicate written and spoken English.
  • Excellent overall communication skills.
  • Able to multi-task.
  • Able to work well in a team environment.
  • Able to stand for extended periods of time, up to 8 hours.
  • Must be able to stand, bend, lift, carry, push, pull, grasp and reach items of various sizes, shapes and weights.
  • Must be professional and possess excellent presentation, communication, organization and effective time-management skills.
  • Must have very strong knowledge of the restaurants, bars, nightclubs, theatres, Broadway shows and attractions in New York City.
  • Must be able to lift and carry up to 100 lbs. for short distances, usually luggage or groceries, and manage a fully loaded bell-cart.
  • Must be mobile and able to make deliveries, assist residents and colleagues, and assist the operation wherever necessary.
  • Flexible schedules and hours. Willingness to work on weekends & holidays is required.

Pay and Benefits:

  • Pay $29.85 to $33.87 hourly - commensurate with experience.
  • A competitive benefits package, including health, dental and vision, 401(K), etc.
