Job summary

University of Kansas Medical Center seeks a Residency/Fellowship Program Coordinator to support accreditation, recruitment, onboarding, scheduling, evaluations, and conferences. Responsibilities

  • Plan and execute annual Program Evaluation and Clinical Competency Committee meetings: schedule, distribute materials, record attendance, minutes, and track action items.
  • Submit required reports to the GME and ACGME by deadlines.
  • Review and update web ads, faculty and trainee information, and submit accreditation data and GMEC-approved changes.
  • Coordinate recruitment activities and update applicant information.
  • Organize onboarding: communicate important dates, oversee licensing, certifications, equipment, workspace setup, and documentation submission.
  • Create annual and clinic rotation schedules with GMEC approval.
  • Develop rotation schedules meeting RRC/ACGME requirements.
  • Manage resident and faculty evaluation tools and reports.
  • Administer daily conference logistics and coordinate Grand Rounds and other meetings.
  • Maintain resident training files and assist with budget management.

Overview

The Residency/Fellowship Program Coordinator collaborates with the Program Director, Program Administrator, Associate Program Directors, Chief Residents, faculty, and the GME Office to ensure compliance with ACGME and institutional regulations. The coordinator is a key contributor to maintaining accreditation status and supporting the operational needs of the residency program.

Responsibilities
  • Accreditation
    • Plan and execute annual Program Evaluation and Clinical Competency Committee meetings: schedule, distribute materials, record attendance, minutes, and track action items.
    • Submit required reports to the GME and ACGME by deadlines.
    • Review and update web ads, faculty and trainee information, and submit accreditation data and GMEC‑approved changes.
  • Recruitment
    • Coordinate recruitment activities and update applicant information.
    • Distribute applicant materials, arrange interview logistics and packets, post surveys, and facilitate the ranking and match process (NRMP or equivalent).
  • Onboarding
    • Communicate important dates and events to incoming residents.
    • Oversee licensing, certifications, equipment purchase, workspace setup, and documentation submission.
    • Organize orientation and welcome events aligned with the GME schedule.
  • Schedules/Rotations
    • Create annual and clinic rotation schedules with GMEC approval.
    • Develop rotation schedules that meet RRC and ACGME curriculum requirements.
  • Evaluations
    • Manage resident and faculty evaluation tools, coordinate review and delivery, schedule semi‑annual evaluations, and prepare related reports.
  • Conferences
    • Administer daily conference logistics, set up AV equipment, and coordinate Grand Rounds and other meetings.
  • Compliance/Testing
    • Ensure accurate leave time recording and support In Training and Board Prep exams.
    • Maintain resident training files, handle agency correspondence, and assist with budget management.
  • Reports and Presentations
    • Prepare reports, surveys, and documents for the University and RRC.
  • Graduating/Alumni
    • Plan graduation activities, manage transition items, document final requirements, and conduct alumni surveys.
  • Other Duties
    • Maintain faculty information, website/social media updates, and organize program events.
    • Plan GME and Coordinator Council training events and process visiting trainee documentation.
Qualifications
  • Required
    • Four (4) years of relevant work experience, or education substituted on a year‑for‑year basis.
    • Knowledge of medical terminology, residency programs, and experience with ERAS, ACGME, MedHub, C‑TAGME, Workday, and Qgenda.
  • Preferred
    • Five (5) years in an academic setting.

Compensation and Benefits
  • Hourly Pay Range: $28.20 – $38.35 (Minimum $28.20, Midpoint $33.17, Maximum $38.35)
