Reservations Management
- Process new reservations received via phone, email, Hyatt channels, GDS, and third-party booking sources.
- Modify, cancel, and confirm reservations accurately within hotel systems.
- Respond to guest inquiries regarding accommodations, rates, packages, amenities, and hotel services.
- Promote room upgrades, packages, parking, and hotel amenities to enhance guest experience and maximize revenue opportunities.
- Monitor reservation activity and communicate potential issues impacting guest arrivals.
Group & Room Block Management
- Manage group rooming lists from file turnover through arrival.
- Process group additions, modifications, cancellations, and special requests.
- Maintain accuracy of group reservations and billing instructions.
- Assist with courtesy blocks and special event room inventory.
- Communicate reservation‑related information between Sales, Events, Revenue Management, and Front Office teams.
Room Inventory & Arrival Planning
- Assist in managing room inventory to support occupancy and revenue objectives.
- Review upcoming arrivals and ensure guest preferences and special requests are documented.
- Support VIP arrival preparation and room assignment planning.
- Identify inventory discrepancies and communicate concerns to leadership.
- Assist with room assignment strategy during sell‑out periods, special events, and high‑demand dates.
- Support Revenue & Reservations Manager with rate, inventory, and reservation audits.
PBX & Guest Communications
- Operate hotel switchboard and PBX systems.
- Answer and route incoming calls accurately and professionally.
- Serve as a communication link between guests and hotel departments.
- Provide information regarding hotel services, dining outlets, amenities, and local attractions.
- Monitor guest messaging platforms and respond or route requests appropriately.
- Assist with guest issue resolution and service recovery efforts.

Required Qualifications
- Previous hospitality, reservations, front office, PBX, or guest service experience.
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office applications.
- Ability to work independently and collaboratively in a fast‑paced environment.
Preferred Qualifications
- Experience with Opera Cloud, SynXis, Reserve, or similar hospitality systems.
- Experience managing group rooming lists and room blocks.
- Understanding of hotel inventory management and revenue principles.
