Job summary

Group 1 BMW of Arlington is seeking a detail-oriented Rental Administrator to manage daily rental and loaner fleet operations. You will coordinate reservations, verify documents, and ensure accurate recordkeeping for a smooth customer experience.

Ideal candidates have dealership exposure, strong communication, and solid MS Office skills, with experience in CDK, Reynolds & Reynolds, or Dealertrack preferred.

Qualifications

• Experience in a dealership or rental environment preferred.
• Strong customer service and communication abilities.
• Excellent organizational and administrative skills.
• Proficiency with Microsoft Office and data entry.
• Experience with dealership management systems (CDK, Reynolds & Reynolds, Dealertrack, etc.).
• Ability to multitask in a fast-paced environment.
• Valid driver's license with a clean driving record.

Responsibilities

• Coordinate loaner and rental vehicle reservations.
• Check vehicles in and out to customers.
• Verify drivers licenses, insurance, and rental agreements.
• Maintain accurate fleet inventory records.
• Monitor vehicle availability, mileage, registration, and maintenance needs.
• Process rental contracts, payments, and billing.
• Work closely with the service department to provide loaner vehicles for service customers.
• Track vehicle damage and coordinate repairs when necessary.
• Prepare reports related to fleet utilization and revenue.
• Ensure compliance with dealership policies, insurance requirements, and state regulations.
