Rental Manager Role Summary:
The Rental Manager is responsible for the growth and utilization of the rental product line. Ensure current customer satisfaction while aggressively adding new accounts and expanding the rental fleet.
Rental Manager Responsibilities:
- Maintain focus on meeting/exceeding client needs and expectations.
- Monitor utilization daily to assess market conditions for underutilized equipment.
- Conduct weekly checks on competition rates and specials to stay informed about market rates.
- Understand available markets and competitor activities.
- Collaborate with lease sales, truck sales, parts, and service teams to promote rental as a tool across departments.
- Identify new opportunities for unit types and rental programs to grow the rental department.
- Review rental fleet composition regularly to anticipate replacements.
- Make sales calls via phone, in person, or email.
- Create and execute scheduled blitz routines for territories involving all leasing and rental staff.
- Expand vocational rental business alongside vocational sales and lease staff.
- Handle all rental customer concerns personally, including invoicing, payments, breakdowns, etc.
- Keep the team informed of changing needs and availability by truck type daily.
- Review, verify, code, and approve rental invoices weekly; manage disputes when necessary.
- Manage fleet reservations to maximize truck utilization and upcoming bookings.
- Monitor daily rental costs to maximize profit.
- Prioritize and communicate daily tasks for the rental team.
- Prepare and present rental department budgets based on trends and internal knowledge.
- Manage damage evaluations and oversee repairs, billing, and customer explanations.
- Be on-call evenings and weekends for customer concerns and lease needs.
- Maintain a list of potential customers and use it to generate new business.
- Work with the credit department to set up new accounts and assist with payment plans and collections.
- Follow up on sub-rental needs to minimize downtime and costs.
- Oversee invoicing, pricing, and manual billing as needed.
- Serve as a subject matter expert and trainer within the rental department.
- Track, post, and invoice fuel receipts.
- Create and process rental agreements.
- Conduct pre- and post-rental inspections and keep records.
- Provide documentation for legal or insurance purposes.
- Ensure customer invoices and agreements are clear and accurate.
- Verify insurance documents and work with insurance companies for claims and coverage.
- Establish project objectives, policies, procedures, and performance standards aligned with corporate policies.
Rental Manager Qualifications/Requirements:
- Effective oral and written communication skills.
- Minimum of 5 years of sales, rental, and management experience in the trucking/transportation or related industry.
- Self-motivated with high energy, confidence, and integrity; able to work independently.
- Strong negotiation skills across management levels.
- Ability to work under pressure, meet deadlines, and manage multiple tasks.
- Exceptional customer service orientation.
- Proven track record of exceeding sales goals.
- Proficiency in Microsoft Office applications.
- Some travel required.
