Talentoma is hiring a Vendor Relations Representative for a fully remote role that supports a Connecticut-based purchasing team. You will manage vendor inquiries, verify details, and provide timely updates to buyers and internal requesters to keep purchasing requests moving.

The role emphasizes clear written and verbal communication, accurate record-keeping in Salesforce and Google Sheets, and disciplined follow-up to ensure reliable responses and escalation when needed.

Qualifications

• Ability to learn systems such as Salesforce, Freshdesk, and Google Sheets.
• Attention to detail in verifying references, dates, and quantities.

Responsibilities

• Review incoming vendor emails and requests in Freshdesk, identifying supplier, purchasing reference, question, and next action.
• Confirm vendor contact details and purchasing references against existing information before responding.
• Communicate approved purchasing information to vendors, including items, quantities, expected response dates, and internal contact.
• Ask suppliers to confirm product availability, order acknowledgment, and expected delivery dates, then share responses with buyers.
• Record vendor conversations, current contacts, commitments, and outstanding questions in Salesforce.
• Maintain an open-request tracker using spreadsheets and Google Sheets, showing owners, response dates, and unresolved vendor questions.
• Follow up with vendors when agreed response dates pass, communicating revised expectations to the buyer.
• Escalate unavailable items, conflicting order details, repeated delays, or unresolved concerns to the buyer with concise notes.
• Confirm that vendor questions have been answered, notify the requester of the outcome, and close completed requests with a clear summary.
• Meet quality expectations through accurate information, timely responses, complete notes, escalation, and follow-up; review feedback with the purchasing team lead.
