Job summary

Wolters Kluwer is seeking a Trade Show & Event Planning Specialist to support senior Event and Attendee Managers in executing internal and client-facing events, including trade shows. The role emphasizes operational coordination, administrative execution, and on-site support to ensure consistent attendee experiences.

You will lead smaller Tier 3 events, manage venues, vendors, and post-event reporting, with travel up to 50% including international assignments as needed.

Qualifications

• Education: bachelor’s degree or equivalent; or related work experience
• Experience: minimum of 5 years in event planning, operations, or coordination
• Proficiency with event management, registration, and budgeting tools (emphasis on Cvent)
• Understanding of event workflows including contracts, payments, vendor coordination, and on-site logistics
• Ability to manage multiple tasks, timelines, and priorities

Responsibilities

• Support senior Event Managers in planning and executing internal and client-facing events, including trade shows
• Serve as lead planner for smaller Tier 3 events from planning to on-site execution
• Research and source venues, vendors, gifting, branding; develop summaries for internal reviews
• Coordinate vendor onboarding, contracts, and payment tracking per policies and timelines
• Support registration setup, attendee communications, and on-site registration using event platforms
• Cross-check attendee manifests, registration data, and hotel rooming lists for accuracy
• Coordinate transportation, shipping, setup, teardown, and on-site operations; travel as required
• Assist with budget tracking, reporting, and escalation of discrepancies
• Collect post-event feedback and support reporting/evaluations
• Facilitate communication among internal teams, vendors, and event partners
