Responsibilities

• Maintains expert knowledge and understanding of scheduling guidelines, patient registration, pre-certification requirements and basic levels of health insurance and billing procedures.
• Maintains expert knowledge of order entry and scanning capabilities as needed.
• Role models the health system values in daily interactions and inspires others to follow those established values.
• Responsible for accurate scheduling/re-scheduling/cancellations of patient visits including clinic appointments, treatments, surgeries and ancillary services.
• Manages scheduling workload from the appointment request workqueue, filters and prioritizes requests per specialty standards.
• Verifies referring physician orders against scheduled appointments for accuracy.
• Coordinates scheduling of multiple cyclical items at correct intervals to clinic and treatment appointments.
• Builds trusting relationships with provider and clinical team to coordinate care across campuses.
• Communicates with Financial Advisor regarding financial responsibility and guides patients to pay options.
• Registers patients prior to visit or upon arrival with demographics, insurance verification and referrals.
• Checks out patients and supports MyChart portal signup.
• Manages department Inbasket and voicemails; provides timely responses to scheduling requests via MyChart and Artera.
• Schedules referral appointments for external offices and handles necessary referrals and medical records.
• Demonstrates professional communication and handles complaints in a constructive manner.
• Attends staff training and may train lower level schedulers; mentors new team members as needed.
• Monitors scheduling volume and adjusts staffing to meet service level goals.
• Acts as operational resource for daily staffing needs and audits productivity for consistency.
