Job summary

TVP is seeking a Production Project Coordinator to ensure orders run on time and accurately from client approval through production and shipping. You will manage orders in a proprietary system, coordinate with manufacturers and vendors, and keep the team informed with daily status updates.

You’ll work with the Order Management Lead and Creative Client Managers in a high-volume environment, driving assigned orders independently while leveraging AI tools to improve efficiency and accuracy.

Qualifications

• 2+ years of hands-on experience in order management, production coordination, purchasing, or a similar role.
• Exceptional organization with the ability to manage dozens of open orders across multiple vendors.
• Strong attention to detail, including catching incorrect quantities on POs or pricing discrepancies against vendor proformas.
• Ownership mindset: documenting, following up, and escalating until resolved.
• Strong sense of urgency and follow-through; respond promptly and close loops.
• Good judgment managing competing deadlines and independence in routine issues.
• Ability to work proactively without constant supervision and keep commitments.
• Comfort using AI tools daily to improve speed and accuracy.
• Excellent written communication with vendors and internal teams; follow-up until answers are obtained.
• Ability to learn new software quickly; training provided on proprietary system.

Responsibilities

• Process new orders in the proprietary system as soon as client approval comes in, and keep every open order current.
• Submit orders to manufacturers and vendors, confirming specs, quantities, pricing, and ship dates before production begins.
• Track daily status across all open jobs and flag delays, errors, or risks early.
• Build and send a daily status report covering every order in production, organized by status.
• Maintain a complete paper trail for every order, including POs, vendor proformas, invoices, shipping updates, tracking, and methods.
• Check vendor invoices against POs and proformas; coordinate with Finance to ensure vendors are paid on time.
• Serve as day-to-day contact for vendors on order questions, changes, and follow-ups.
• Use AI tools to summarize status, catch document mismatches, and draft follow-ups.
• Spot recurring process problems and suggest fixes to prevent recurrence.
