Job summary

The University of Illinois Urbana-Champaign, Engineering Business Services Center in The Grainger College of Engineering, seeks a Procurement Officer Assistant to provide purchasing services to faculty, staff, and students within units served by shared services. Qualifications

• Knowledge of university business and financial policies and procedures.
• Proficiency with software such as Word, Excel, Access, Banner and email.
• Ability to operate standard office equipment and prepare forms accurately.
• Excellent communication and customer service skills.
• Ability to respond to requests from faculty, staff and students with sound judgement.

Responsibilities

• Assist in evaluation and preparation of procurement requests, including pricing, lead times and receiving information.
• Prepare and review requisitions and forms; develop specifications with departments.
• Notify vendors of required forms and ensure documentation is accurate and complete.
• Prepare reports and correspondence on requisitions, POs, shipments and complaints; interpret policies.
• Process procurement requests, issue POs with proper authorization, assist with simple contract documents and iBuy/PCard/Emburse payments.
• Investigate invoices and overdue balances; coordinate with vendors and university offices to resolve issues.
• Reconcile monthly accounts and enter corrections in Banner; contact departments for missing information.
• Other duties as assigned.
