Job summary

Maritz is seeking a Congress Meeting Manager to lead pharma congress programs across Neurology and Oncology. You will manage housing, registration, and post-event reconciliation while coordinating with internal stakeholders and external partners to ensure strategic alignment.

The role requires 5+ years in pharma congress planning, strong Cvent and MS Office skills, and the ability to travel up to 20% domestically and internationally.

Qualifications

• Bachelor's degree or equivalent experience.
• Minimum 5+ years in pharmaceutical or life sciences event management.
• Experience managing congress housing, registration, and ancillary meetings.
• Knowledge of compliance and regulatory requirements for pharma congresses.
• Experience collaborating with planners, agencies, suppliers.
• Proficient with Cvent and MS Office; strong organizational skills.
• Willingness to travel up to 20%, domestic and international.
• Nice to have: CMP/CMM/HMCC or related certifications.
• Global congress experience appreciated.

Responsibilities

• Serve as primary liaison and lead for assigned congress programs.
• Oversee housing and registration management, hotel blocks, and registrations.
• Track deposits, invoicing, and post-event reconciliation to support profitability.
• Coordinate meeting space requests and negotiations within budget.
• Maintain timelines, agendas, calendars, and critical deadlines.
• Support compliance training and regulatory documentation processes.
• Collaborate with Finance, IT, Travel, HR, and suppliers for delivery.
• Provide onsite support and ensure seamless program execution.
• Maintain congress trackers and literature orders; assist with planning initiatives.
