Job summary

Maritz is seeking a remote Congress Meeting Manager to lead pharmaceutical congress programs in Neurology and Oncology, coordinating housing, registration, and post‑event reconciliation. You will partner with internal stakeholders and external suppliers to ensure on‑time, compliant, and high‑quality event delivery.

You will manage budgets, reporting, and attendance using Cvent and MS Office, while aligning with client strategy and regulatory guidelines.

Qualifications

• Bachelor's degree or equivalent experience required.
• 5+ years of experience in pharmaceutical or life sciences industry, supporting congress planning and event management.
• Strong experience managing pharmaceutical congress housing, registration, and ancillary meetings with compliance awareness.
• Experience working with congress planners, agencies, and suppliers to manage program logistics.
• proficient in Cvent and Microsoft Office Suite (PowerPoint, Excel, Word).

Responsibilities

• Serve as the primary liaison and lead for assigned pharmaceutical congress programs, managing planning, execution, and post‑event reconciliation.
• Lead housing and registration management, including handling hotel room blocks and registrations with attendance reporting.
• Manage financial tracking and reconciliation, including deposits and program expenses.
• Support congress meeting logistics and ancillary meeting planning within budget parameters.
• Maintain communication with stakeholders, agendas, calendars, and deadlines.
• Coordinate compliance and regulatory requirements, ensuring adherence to guidelines.
• Collaborate with Finance, IT, Travel, HR, agencies, and suppliers for program delivery.
• Provide onsite congress support as needed, advancing logistics and room setups.
• Manage congress reporting and program documentation using Cvent and MS tools.
• Support program improvement and planning initiatives.
